JOB SUMMARY:

Overall Summary of Function

The Operations Coordinator supports cross functional warehouse operations including Shipping, Receiving, Production, Maintenance, Inventory, and inter warehouse transfers. This role is responsible for assisting with operational workflow execution, transfer coordination, truck logistics, and event readiness while developing a full understanding of Blueprint Studios warehouse operations across all locations.

The Operations Coordinator provides hands-on operational support across departments, assists warehouse leadership during staffing gaps or high workload periods, and supports outbound and inbound product movement between warehouses and events. This role works closely with Supervisors, Leads, Inventory, and operational teams to ensure accurate communication, proper product flow, transfer execution, and operational readiness while developing into a key operational resource within the company.

ESSENTIAL JOB FUNCTIONS:

At Minimum Duties and Responsibilities

Leadership and Department Oversight

  • Support Supervisors, Leads, and operational teams across Shipping, Receiving, Production, Maintenance, and Inventory as assigned based on operational priorities.

  • Assist with daily workflow coordination and provide hands-on operational support during peak periods, staffing gaps, or large scale event preparation.

  • Develop operational knowledge across all warehouse departments, workflows, systems, and SOPs.

  • Support department consistency by following operational standards, communication expectations, and workflow procedures.

  • Promote teamwork, accountability, organization, and safety throughout all warehouse activities.

Operational Strategy and Planning

  • Assist with outbound and inbound transfer coordination between warehouse locations and event destinations.

  • Support truck departure preparation including staging verification, manifest review, transfer readiness, and communication with operational teams.

  • Coordinate movement of materials between departments and warehouses to support event readiness and operational continuity.

  • Assist with scheduling and prioritization of transfers based on event timelines, operational workload, and warehouse capacity.

  • Support daily warehouse workflow activities including Shipping, Receiving, Production, Inventory coordination, and Maintenance support tasks as assigned.

  • Develop understanding of company inventory systems, warehouse processes, and operational planning processes.

Operational Accuracy and Documentation

  • Ensure all transferred items include accurate manifests, checklists, labels, and supporting documentation.

  • Verify quantities, product counts, and transfer accuracy prior to movement between locations or departments.

  • Identify and escalate shortages, damages, missing items, red lines, or workflow concerns to operational leadership.

  • Support quality control checks to ensure products are properly prepared, organized, and show ready prior to shipment or transfer.

  • Assist with maintaining accurate operational communication regarding transfer status, delays, and workflow updates.

Cross Department Coordination

  • Partner with Shipping, Inventory, Receiving, Production, Maintenance, and Field Operations to maintain a smooth flow of materials and event readiness.

  • Support inter warehouse transfer planning to reduce bottlenecks and maintain balanced inventory across locations.

  • Ensure coordination of all transfers, including internal same city warehouse movements and inter office transfers between locations, with complete manifests, accurate system checklists, and clear communication with all departments and teams involved across both cities.

  • Communicate operational updates, transfer status, shortages, and workflow concerns proactively to operational leadership and warehouse teams.

  • Assist with maintaining alignment between warehouse activities, event timelines, and operational priorities.

SOP Enforcement, Process Reliability and Continuous Improvement

  • Follow and support enforcement of warehouse SOPs, operational standards, transfer procedures, and workflow expectations.

  • Identify workflow inefficiencies or operational gaps and communicate improvement opportunities to leadership.

  • Support consistency in warehouse organization, transfer preparation, staging standards, and operational execution.

  • Assist with maintaining operational tools, transfer equipment, labels, supplies, and consumables as assigned.

  • Ensure compliance with company policies, operational procedures, and warehouse standards across all departments.

  • Perform additional responsibilities as assigned by warehouse or operations leadership to support operational continuity and business needs.

Safety and Compliance Leadership

  • Follow all company safety policies, warehouse guidelines, PPE requirements, and equipment procedures.

  • Support warehouse safety initiatives and assist with maintaining clean, organized, and safe work environments.

  • Report hazards, unsafe conditions, incidents, or equipment concerns immediately to operational leadership.

  • Promote Blueprint’s safety culture through accountability, communication, and consistent safe work practices.

QUALIFICATIONS:

At Minimum Training, Education and; Experience

  • GED or high school diploma required (B.S. or Associate degree preferred).

  • Minimum 2 years of warehouse, logistics, inventory, shipping, receiving, production, maintenance, or operational support experience preferred.

  • Strong interest in learning cross functional warehouse operations and operational leadership development.

  • Ability to support training, coaching, and development of operational staff on a regular basis.

  • Demonstrates strong organizational skills, attention to detail, and team oriented mindset.

  • Advanced computer skills including Microsoft Office, spreadsheets, and warehouse systems.

  • Ability to communicate professionally and effectively with leadership, clients, vendors, and team members through verbal and written communication, including email correspondence.

  • Ability to adapt quickly to changing operational priorities, warehouse environments, and departmental needs.

  • Forklift certification or warehouse equipment experience preferred.

  • Ability to operate warehouse equipment including pallet jacks, forklifts, and order pickers preferred.

  • Valid driver’s license with clear driving record required.

  • Respects confidentiality when handling company, client, and employee information.

  • Availability for overtime, nights, weekends, and emergency support when needed.

  • Bilingual in Spanish a plus.
