Position Description:
Position Summary:
As a member of the Student Records Team, this position will serve as an expert in both transfer credit evaluation and program completion. The role is responsible for ensuring students receive proper credit for coursework completed at other institutions and accurately processing graduation applications, including applying course substitutions and waivers. Additionally, this position serves as a primary liaison between Student Records and the campus community concerning transfer evaluation, equivalency questions, and program completion requirements.
Essential Job Duties and Responsibilities:
  • Accurately evaluate and process transcripts from other colleges, universities, and military entities to determine transferability of credit to the College and/or prerequisite fulfillment.
  • Coordinate the receipt, verification, and evaluation of Advanced Placement (AP), International Baccalaureate (IB), and College Level Exam Placement (CLEP) scores.
  • Communicate transfer credit evaluations to students in a clear and timely manner and interact daily with students and advisors regarding inquiries about course equivalencies.
  • Process evaluation of prior learning experiences for students seeking academic credit for non-traditional learning, maintaining communication with students via the College's CRM program, TargetX (powered by Salesforce).
  • Manage current data on the Michigan Transfer Network to ensure transfer course equivalencies are available to other Michigan colleges and universities and students.
  • Collaborate with divisions to identify and maintain course equivalencies from transfer institutions.
  • Review, process, and document program change requests, ensuring accuracy and compliance with institutional policies.
  • Process grade change forms submitted by faculty, verifying required approvals and updating student records accordingly.
  • Troubleshoot transcript order issues, providing guidance on order status, corrections, and reissues as needed.
  • Process and evaluate all graduation applications and send status updates to applicants via TargetX.
  • Enforce all program requirements and enter approved substitutions or waivers into the degree audit system, DegreeWorks.
  • Respond to faculty, staff, and student inquiries related to transfer policies, program completion, and graduation requirements.
  • Assist with preparation, planning, rehearsal, and day-of coordination of honors and commencement ceremonies.
  • Scan, upload, and index all documentation into the content management system, ApplicationXtender, and maintain appropriate tracking.
  • Utilize artificial intelligence (AI)-enabled tools and software to support administrative operations, including drafting correspondence, organizing information, scheduling, data entry, document preparation, meeting summaries, workflow efficiency, and other responsibilities, while ensuring accuracy, confidentiality, and compliance with institutional policies, procedures, and applicable regulations
  • Perform other related duties as assigned by the supervisor.

Hours/Schedule: Variable hours, Monday through Saturday 8:00AM - 7:00PM.
This position is identified as Work from Home eligible up to two ( 2) days per week, based on determination that essential duties can 1) be performed outside of the worksite, 2) be performed without access to equipment, material, and files located on campus, 3) be performed without face to face contact with supervisor, students or staff, and 4) be performed remotely with an overall neutral effect on students, co-workers, and the organization as a whole.
Minimum Qualifications:
Minimum Required Knowledge, Skills and Abilities:
  • High school Diploma or GED equivalent and 45 credit hours in related coursework and five (5) years relevant work experience OR the equivalent combination of education and work experience.
  • Experience in student services, preferably in advising, admissions and/or student records. Good working knowledge of student records procedures/functions and College policies.
  • Experience with Microsoft Access, Excel and Word. Experience in using computer networks, email, and web products.
  • Experience with data extraction, manipulation, and reporting.
    Ability to interact with College staff at all levels including faculty, department chairs and deans.
  • Excellent interpersonal and communications skills to effectively deal with various college and community constituents.
  • Ability to accurately perform tasks in a busy, high-stress environment and work with minimal direct supervision.
  • Knowledge of FERPA and the ability to appropriately handle confidential materials.
  • Demonstrated ability to use standard office technology and emerging AI-supported productivity tools in a professional environment for drafting correspondence, meeting summaries, scheduling, note organization and other administrative related tasks. Ability to evaluate AI-generated content for accuracy, maintain confidentiality, and apply sound judgment and ethical practices in the use of AI technologies.

  • Experience with evaluating degree requirements, specifically with degree audit systems such as DegreeWorks is preferred.
  • Experience with Target X and/or Salesforce.
  • Experience working with enterprise resource systems, preferred experience with Student Information Systems such as Ellucian/Banner.
