Job description

High Point University's Office of Student Accounts is seeking an Administrative Assistant who will play a key role in ensuring the smooth and efficient operation of the office. This position is responsible for organizing and coordinating office functions to maximize effectiveness and provide exceptional administrative support to the Student Accounts team.
The Administrative Assistant will assist with maintaining student accounts, supporting the invoicing and collection of tuition statements, and providing excellent customer service by consistently responding to phone calls and emails from students and parents regarding account management.
QUALIFICATIONS:
Education, Experience and Training:
  • Minimum 2 years related experience including customer service and high-level administrative or office management experience required.

  • Experience in higher education setting preferred.

Knowledge, Skills, Ability:
  • Knowledge of office administration procedures

  • Attention to detail and high level of accuracy

  • Strong organizational skills

  • Ability to multitask effectively

  • Ability to work confidently and competently under tight deadlines and flexibility to adjust to changing priorities

  • Ability to work in a fast-paced environment

  • Expertise in MS Word and Excel; working knowledge of computerized data processing and web-based technology

  • Competent to learn and utilize multiple information systems

  • Strong interpersonal skills, cultural awareness, and ability to work effectively with internal and external customers

  • Ability to appropriately handle confidential information

ESSENTIAL FUNCTIONS:
  • Handles receptionist duties; greets the public and refers them to appropriate staff members when needed, answers phone, routes phone calls and takes messages when appropriate

  • Monitors the Student Account email box; responds to all emails and voicemails in a timely manner and without intervention

  • Develops office procedures, gains approval from Director of Student Accounts and then implements those office procedures

  • Processes 1098T email requests & walk-ins, while also directing them on how to review/print the form online

  • Organizes and coordinates office operations

  • Distributes mail when delivered, if necessary

  • Scans and links all documents in ImageNow, with assistance of student worker(s)

  • Assist with office mailings as needed

  • Maintains office equipment and supplies

  • Updates and maintains filing systems; ensures protection and security of files and records

  • Maintains positive work atmosphere by acting and communicating effectively with students, parents, faculty, co-workers and managers

  • Provide positive, courteous and complete verbal and written responses to inquiries from customers, students, parents, internal departmental offices, and team members using our departmental software

  • Document communications and account contacts using departmental software and scanning processes

  • Represent Student Accounts at freshman orientations; to include preparing documents for disbursement, assisting in the waiving of insurance and helping to answer general student account questions

  • Assist in other office functions as needed

ACCOUNTABILITY:
  • Report directly to the Director of Student Accounts
