The Strategic Operations Specialist serves as a trusted operational partner to executive leadership, providing stewardship over critical operational processes that allow leaders to focus on serving clients, developing employees, and growing the business. While this position has no direct supervisory responsibility, it has broad organizational impact through coordination of strategic operational initiatives, contract administration, corporate compliance, risk management support, executive projects, and other business-critical processes.

Position Summary

The Strategic Operations Specialist coordinates and helps improve key operational processes that protect the Company's interests and support its continued success. This role serves as a central point of coordination for contract administration, corporate compliance, insurance documentation, operational budget coordination, executive initiatives, vendor relationships, and strategic business activities.

Contract Administration & Business Agreements

Coordinate the lifecycle of client contracts, MSAs, subcontract agreements, and NDAs from receipt through execution, tracking, renewal, and archival. Coordinate review and negotiations with leadership; maintain databases; monitor renewals; maintain executed files; and communicate upcoming renewals.

Corporate Compliance & Business Governance

Coordinate Secretary of State registrations, annual reports, business licenses, engineering registrations, compliance calendars, regulatory deadlines, and corporate records.

Risk Management & Insurance Coordination

Coordinate insurance renewals, certificates of insurance, bond requests, subcontractor COIs and W-9s, broker communications, and compliance documentation.

Executive Operations & Strategic Support

Coordinate the annual Operations budget development process for assigned corporate function, including gathering departmental input, tracking timelines, consolidating information, and supporting executive review.

In addition, responsibilities include:

  • Preparing executive reports, presentations, and supporting documentation.
  • Tracking operational action items and follow-up activities.
  • Coordinating executive and cross-functional special projects.
  • Supporting strategic initiatives through organization, communication and execution.
  • Identifying practical process improvements that enhance efficiency and accountability.

Operational Systems & Organization

Maintain and enhance operational tracking systems, document management practices, contract databases, and client or vendor compliance portals while identifying opportunities for continuous improvement that increase efficiency, strengthen accountability, and reduce organizational risk.

Decision Making & Judgment

Recognize operational risks, recommend practical improvements, coordinate cross-functional efforts, and exercise sound judgment while managing confidential business information.

Required Qualifications
  • Bachelor's degree in Business Administration, Management, Operations, Finance, or a related field.
  • Approximately seven (7) or more years of progressively responsible professional experience in operations, executive support, contract administration, project coordination, compliance, corporate governance, or similar business functions.
  • Equivalent combinations of education, experience, and demonstrated capability will be considered.
  • Experience coordinating complex business processes involving multiple stakeholders.
  • Experience with contracts, vendors, brokers, consultants, or third-party partners.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office. Experience with Microsoft Dynamics 365 ERP is a plus.
  • Exceptional organization, attention to detail, discretion, follow-up and follow-through.

Work Environment

Based in MSB's Metairie office. First 60 days in-office; thereafter eligible for one remote day per week based on performance and business needs.
