Job description

About Emerald Advisors

Emerald Advisors is an independent registered investment advisory firm serving affluent families, executives, business owners, and other clients with complex financial lives. We provide comprehensive wealth planning and investment management with an emphasis on thoughtful advice, personal relationships, and exceptional client service.

Emerald Advisors is entering an exciting stage of growth. As part of our continued expansion, we are opening our second office in Arlington, Virginia, establishing a presence in the Washington, D.C. metropolitan area and supporting the firm's broader national growth strategy.

We are seeking an experienced Senior Client Services Administrator to join our team and play an important role in establishing our Arlington office.

Compensation: $70,000–$90,000+ annually, depending on experience and qualifications.

The Opportunity

This is an experienced client service and operations position for someone who understands the pace, precision, confidentiality, and follow-through required in a successful wealth management practice.

The Senior Client Services Administrator will work closely with Emerald's advisors, clients, custodians, and operations team to deliver a high-quality client experience and ensure that day-to-day client service and account administration are handled accurately and efficiently.

The ideal candidate has prior experience working for an RIA, wealth management firm, financial advisory practice, family office, or similar financial-services organization.

Prior experience with Charles Schwab and/or Fidelity is strongly preferred.

As one of the first team members in our new Arlington office, this individual will also have the opportunity to help establish the service culture and operating standards of an important new office while joining an established and growing firm.

Key Responsibilities
  • Serve as a key administrative and operational point of contact for clients and advisors.
  • Deliver a highly responsive, professional, and confidential client experience.
  • Coordinate new-client onboarding and account establishment.
  • Prepare and process account applications, transfers, distributions, deposits, beneficiary changes, and other custodial documentation.
  • Work directly with Charles Schwab, Fidelity, and other custodial and financial-services partners to resolve account and service matters.
  • Monitor account-opening, transfer, and service requests through completion and proactively follow up on outstanding items.
  • Maintain accurate client records, documentation, workflows, and CRM information.
  • Coordinate client meetings, scheduling, preparation, and follow-up.
  • Prepare client meeting materials and assist advisors with financial-planning and investment information.
  • Support money movement and other client requests in accordance with established firm procedures and security protocols.
  • Assist with ongoing account maintenance and operational workflows.
  • Communicate effectively with clients, advisors, custodians, and outside professionals.
  • Protect confidential client information and consistently follow the firm's compliance, cybersecurity, privacy, and operational procedures.
  • Identify opportunities to improve workflows and help create scalable processes as Emerald continues to grow.
Qualifications

Preferred candidates will have:

  • 3+ years of relevant experience in an RIA, wealth management firm, financial advisory practice, brokerage, family office, or similar financial-services environment.
  • Hands-on experience with Charles Schwab and/or Fidelity custodial platforms strongly preferred.
  • Demonstrated experience with client onboarding, account opening, transfers, distributions, money movement, account maintenance, and custodial paperwork.
  • Strong understanding of the operational and client-service requirements of a wealth management practice.
  • Exceptional attention to detail and strong organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and follow assignments through to completion.
  • Professional judgment and discretion when working with confidential financial and personal information.
  • Comfort working directly with affluent clients and experienced financial professionals.
  • Strong technology skills and the ability to learn new systems quickly.
  • Experience with CRM, financial-planning, portfolio-management, document-management, or related wealth-management technology is a plus.
  • Bachelor's degree preferred, or an equivalent combination of education and relevant industry experience.
What We're Looking For

We are looking for someone who takes ownership.

The right person anticipates what needs to happen next, follows through without being reminded, communicates clearly, and understands that exceptional client service is built on hundreds of small details being handled correctly.

You should be comfortable working independently while also enjoying being part of a collaborative team. Because this position will help establish our Arlington office, we particularly value someone who is adaptable, resourceful, and excited about helping build something while operating within the systems and standards of an established firm.

Why Emerald Advisors

This is a unique opportunity to join a growing independent wealth management firm at an important point in its expansion.

You will be joining an established organization while becoming part of the team responsible for launching Emerald Advisors' second office in Arlington and expanding our presence in the Washington, D.C. metropolitan area.

For the right individual, this position offers the opportunity to grow professionally as the Arlington office and Emerald Advisors continue to expand.

Compensation

Base salary: $70,000–$90,000+ annually, depending on experience, qualifications, and relevant industry expertise.

Candidates with significant RIA experience, strong Schwab and/or Fidelity expertise, and demonstrated wealth-management operations experience may warrant compensation above the stated range.

  • Emerald Advisors, LLC is an equal opportunity employer. Employment decisions are based on qualifications, merit, and business needs.
