Job description

Position Overview

Power Your Future with Qualus in our PMO group as a Contracts Coordinator. The Contracts Coordinator supports the execution of project specific contracts for power generation projects. This role ensures that utility's engineering and construction consultants are effectively sourced, contracted, managed, and evaluated throughout the project lifecycle. The contractor will work closely with Design Managers, project teams, and prequalified engineering firms to drive consistency, compliance, and performance in all engineering contract activities.

Responsibilities

Consultant Forecasting & Strategy

  • Partner with Design Managers to forecast engineering consultant needs for upcoming projects.
  • Recommend assignment strategies or competitive bid approaches using a pool of prequalified Engineering Consultants.
  • Support planning efforts to ensure adequate consultant capacity and alignment with project schedules.

Bid & Procurement Management

  • Coordinate scope development with internal design groups to ensure clarity and alignment.
  • Prepare and execute Requests for Proposals (RFPs) for engineering design services.
  • Organize and facilitate Pre Bid and Scoping Meetings as required.
  • Manage the Request for Information (RFI) process during bidding.
  • Coordinate technical evaluations of consultant proposals.
  • Conduct commercial reviews and ensure compliance with procurement requirements and established Letter of Agreements.
  • Secure all necessary internal approvals for contract awards.
  • Issue Notices to Proceed (NTPs) for all awarded engineering contracts.

Contract Administration

  • Manage and process change orders for engineering contracts, ensuring proper documentation and justification.
  • Maintain accurate contract records, cost tracking, and change order logs.
  • Monitor contract performance metrics and ensure adherence to contractual obligations.Consultant Performance Management
  • Track and communicate consultant performance throughout the project lifecycle.
  • Facilitate feedback loops between internal design teams and external consultants.
  • Maintain and update Consultant Scorecards.
  • Identify and document issues or non compliance, and support corrective action processes.
  • Hold consultants accountable for performance expectations and contract requirements.Reporting & Cost Tracking
  • Maintain consultant related reporting, including cost tracking, change order summaries, and performance metrics.
  • Provide cost projections and support project teams with financial visibility.
  • Use data and performance measurements to monitor progress and drive continuous improvement in consultant management practices.
Qualifications
  • Experience in contracts coordination or management in the utility, shipping, government or industrial industries.
  • Scrupulous attention to detail and impeccable organizational skills
  • Experience in managing multiple projects and deadlines
  • Bachelors Degree is preferred but not required.
