Job description

Department Overview

Location: On-Site at Klamath FallsThe OHSU Interprofessional Simulation Center is located in the SkyLakes Collaborative Health Center (CHC) in Klamath Falls. While the CHC is located in Klamath Falls, the center is part of the OHSU statewide simulation team, which is under the office of the provost. At the CHC learners and participants from the School of Nursing, the Cascade East Family Medicine, Doctorate in Physical Therapy, OHSU OnTrack, and other regional and community engagement programs participate in simulation-based education and clinical skills trainings.

This part-time position provides administrative coordinator for the Sky Lakes Collaborative Health Center (CHC) Interprofessional Simulation Center. The role is responsible for coordinating scheduling, communications, and supporting day-to-day office operations to ensure efficient and organized use of the simulation and skills lab spaces and resources. The position serves as an initial point of contact for faculty, staff, and program partners, facilitating coordination of activities and maintaining accurate scheduling systems. Responsibilities include calendar management, meeting coordination, supply inventory, supply ordering, and general administrative support for simulation-based education programs. This role works collaboratively with simulation and program staff to support operational needs, as appropriate.

Function/Duties of Position

Administrative Scheduling

  • Coordinates scheduling of simulation and clinical skills labs spaces and resources.
  • Maintains calendars for SCLC space, staff, and faculty use.
  • Communicates with faculty, program staff, and leadership to support scheduling and programmatic needs.
  • Tracks room reservations, supply ordering, and general office logistics.
  • Drafts and sends routine communications (emails, updates, reminders). 

Program & Office Support

  • Supports data entry and basic reporting related to simulation activities.
  • Assists with meeting coordination (scheduling, agendas, minutes).
  • Maintains organized records, files, and documentation.
  • Partners with simulation operations specialists to review inventory and to restock core disposable clinical supply needs.
  • Provides general administrative support to program operations. 

Basic Operational Support

  • Provides limited administrative support for simulation activities as needed.
  • Coordinates with technical/simulation staff for equipment or operational needs.
  • Assists with collecting, preparing and tracking shipments and packaging.
  • Provides additional support during large events with hospitality, set up and clean up. 
Required Qualifications
  • Four years of general office or secretarial experience; OR
  • An Associate's degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR
  • A Bachelor's degree and two years of general office or secretarial experience; OR
  • An equivalent combination of training and experience.
  • Prior experience working in a team- oriented environment.

  • Ability to manage time with frequent interruptions.

  • Ability to re-prioritize work to meet multiple and competing deadlines.

  • Organizational skills, flexibility and willingness to get the job done.

  • High level of organization and prioritization skills required to complete work in a timely and efficient manner; Excellent grammar, punctuation and spelling; Highly developed and experienced interpersonal communications skills, both verbal and written.

  • Ability to work cooperatively with academic, unclassified management, and classified personnel on a daily basis.

  • Recent (past two years) experience and competency in MS Suite applications, e.g. Word, PowerPoint and Excel, willingness to learn other applications.

  • Ability to perform the job duties with or without accommodation.
Preferred Qualifications
  • Prior experience working with faculty and programs within a higher education environment.

  • Experience working with faculty and staff in simulation environments.
