Job Overview:

The Shipping Coordinator is responsible for organizing and managing the day-to-day shipping functions for a manufacturing facility specializing in gates and water control systems. This includes preparing shipments, coordinating logistics with carriers, receiving incoming shipments, maintaining shipping records, and ensuring timely and accurate delivery of large, often custom-engineered components. The ideal candidate is detail-oriented, organized, and has experience with industrial or large-scale freight shipments. The person is also responsible for maintaining accurate inventory levels of raw materials, components, and finished goods used in the production of gates and water control systems. This role ensures that inventory data is up-to-date, materials are stored properly, and components are readily available to support manufacturing schedules.

Key Responsibilities:

  • Schedule and coordinate outbound shipments of gates, components, and related water control equipment.
  • Prepare shipping documents such as bills of lading, packing lists, and freight labels in compliance with customer and regulatory requirements.
  • Work with logistics providers and freight carriers (LTL, FTL, flatbed, heavy haul, etc.) to arrange transportation based on load type and destination.
  • Ensure all shipments are packed, loaded, and secured properly to prevent damage during transit.
  • Communicate shipping timelines and tracking information to internal teams.
  • Maintain accurate shipping logs, documentation, and database records.
  • Verify shipment contents against work orders, invoices, or customer requirements.
  • Collaborate with production, quality control, and inventory teams to ensure readiness and accuracy of outgoing shipments.
  • Monitor freight costs and support cost-efficient shipping decisions.
  • Assist with the loading of trucks and coordinate with forklift drivers or warehouse personnel as needed.
  • Ensure compliance with DOT, OSHA, and company safety policies.
  • Monitor inventory levels and ensure accurate counts through routine cycle counts and full inventory audits.
  • Coordinate with purchasing, production, and warehouse teams to ensure proper stock levels and timely replenishment of materials.
  • Tag and label parts, equipment, and raw materials upon receipt and ensure items are stored in designated locations.
  • Investigate and resolve inventory discrepancies and report findings to supervisors.
  • Assist with physical inventory and reconciliation processes on a scheduled basis.
  • Support production by preparing and staging inventory needed for manufacturing work orders.

Qualifications:

  • High school diploma or GED.
  • 2+ years of experience in Inventory control, shipping, logistics, or warehouse operations.
  • Working knowledge of shipping processes and documentation for domestic and international shipments.
  • Proficient in Microsoft Office (especially Excel) and experience with shipping software or ERP systems (e.g., SAP, Oracle, NetSuite, ShipStation).
  • Strong attention to detail and organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to lift up to 40 lbs. and work in a fast-paced warehouse environment.

Preferred:

  • Experience with freight scheduling and coordination (LTL, FTL, parcel, international).
  • Familiarity with customs regulations and export documentation.
  • Forklift certification or willingness to obtain.
  • Knowledge of ERP or WMS software.
  • Crating Experience

Work Environment and Physical Demands:

  • Primarily warehouse and office-based; involves standing, walking, and lifting.
  • Requires handling of materials and use of equipment such as scanners, labelers, and computers.
  • May be exposed to temperature changes, noise, and industrial equipment.
  • May involve occasional overtime during peak shipping periods.
