Job Summary:

We are seeking a highly organized and proactive Service Supervisor to oversee daily service operations in our Roanoke, VA branch. This role serves as the operational hub between customers, field technicians, vendors, and leadership.

This position plays a critical role in driving operational efficiency, ensuring billing accuracy, supporting payroll processes, and helping the branch meet performance goals.

Key Responsibilities:

Service Operations Management

  • Coordinate and prioritize daily service activities to ensure efficient technicianutilizationandtimelycustomer response
  • Serve as primary point of contact for service inquiries and resolve routine operational issues independently
  • Monitor service activity, maintenance hours, and non-billable work toidentifyperformance improvement opportunities

Financial & Administrative Oversight

  • Review and reconcile technician time entries; submit weekly payroll documentation accurately and on time
  • Ensure service tickets are properly coded, billable activity is captured, and invoices are processed accurately
  • Manage deposit tracking, credits, and billing adjustments in alignment with company guidelines
  • Prepare operational reports and support weekly performance review meetings

Purchasing & Vendor Coordination

  • Create and manage purchase orders within defined authority thresholds
  • Source andprocurepartsrequiredfor service operations and branch inventory
  • Track open purchase orders and coordinate with vendors to ensuretimelydelivery and financial reconciliation

Quote & Backlog Management

  • Convert approved sales quotes into active service jobs
  • Coordinate parts ordering in alignment with deposit and approval requirements
  • Monitor backlog and support scheduling alignment with material availability

Operational Administration

  • Maintain on-call schedules and related communication updates
  • Support onboarding of field technicians, including system access and operational setup
  • Maintainaccuraterecords within company service management systems

Qualifications:

  • High school diploma or equivalent
  • 3+ years of experience in service operations, dispatch, technician coordination, or trade-based administrative leadership
  • Experience in HVAC, elevator, mechanical, construction, or similar service environments strongly preferred
  • Excellent leadership, communication, and interpersonal skills.
  • Ability to multitask and manage time effectively
  • Proficient in CRM software and Microsoft Office Suite
  • Strong organizational skills and attention to detail
  • Ability to exercise independent judgment in a fast-paced service environment
