Job description

We are a growing financial planning firm focused on helping clients transition confidently into retirement. As we expand our wealth management business, we are looking for a highly organized, proactive individual to help build and manage the operational backbone of the firm.
This is a flexible, professional role with significant responsibility and the opportunity to grow alongside the business.
What Youโ€™ll Do
This role blends client service, operations, and internal coordination. You will be responsible for making sure nothing falls through the cracks.
Client Service & Communication
  • Serve as a primary point of contact for client service needs (non-advisory)
  • Communicate with clients regarding paperwork, account updates, and next steps
  • Ensure timely follow-up and a high-quality client experience
Operations & Processing
  • Manage and track account paperwork (new accounts, transfers, distributions)
  • Oversee money movement requests and ensure timely completion
  • Monitor and resolve processing issues (NIGOs, missing items, delays)
CRM & Data Management
  • Maintain and optimize client records in Wealthbox CRM
  • Track workflows, tasks, and client interactions
  • Improve organization and efficiency of internal systems
Compliance & Coordination
  • Act as liaison with our RIA for compliance items
  • Ensure required documentation and processes are completed accurately
  • Stay on top of requests and deadlines without prompting
Administrative Support
  • Manage calendar and scheduling
  • Assist with reporting and internal tracking
  • Help create structure as the firm continues to grow
What Weโ€™re Looking For
  • Highly organized and detail-oriented
