We provide comprehensive mechanical contracting and maintenance services for commercial, industrial, and institutional projects. Our expertise includes office buildings, hospitals, colleges and universities, telecommunications, schools, warehouses, industrial facilities, and more.

Job Summary

Fagan seeks a Service Contracts Coordinator with financial acumen to be responsible for organizing tasks to ensure customer maintenance contracts are completed on time and above customer expectation. Tasks include contract review, schedule creation and monitoring, QA reviews of documentation, and financial reporting of contract value and performance. This is not a customer-facing role; however, this position will need to develop and maintain positive relationships with all existing internal and external stakeholders, including other Service Coordinators, Technicians, and Senior Leadership. 

Essential Duties & Responsibilities
  • Oversee Preventative Maintenance Contract process once secured by sales team, including organizing contract documents, scheduling work, ensuring completion, reviewing documents and financial performance of contracts and preparing documents for customer billing  
  • Assist as necessary, the dispatching of technicians to support the execution of preventative maintenance contracts.  
  • Maintain existing local data filing systems and processes. 
  • Secure parts and materials necessary for work completion.  
  • Assemble all documentation and invoices required and review for quality and accuracy in support of timely billing of customers for completed work.   
  • Generate, review, and send applicable reports to the applicable Account Managers.  
  • Review technician's notes for accuracy and completion on work assignments.   
  • Review overall revenue and costs of each contract and customer, ensuring quality service for customers and positive revenue generation for the Company. Review these findings with Account Managers and Leadership.  
  • Review customer equipment lists with Account Managers for each customer to identify equipment which may need to be replaced.  
  • Identify contract renewal timeframes and potential cost increase or potential savings . Work with Account Managers to support information requests as they secure updated or renewed contracts.   
  • Perform any additional duties assigned by the Manager, including tasks outside of this scope as needed to support the overall success of the company.
