This professional would have experience working in an industrial setting with a background in inventory or office administration. As Service Administrator, you will set up jobs for the Field Service Team and enter, track, and expedite all Field Service Work in Progress (WIP) orders.

The Service Administrator will be an in-office role requiring 5 days in office in Elko, NV.

Key Responsibilities:

Work Order Management

  • Open field service jobs for billable work, warrantywork,and other areas ofParts &Services(P&S)
  • Openwork ordersfor new units; PDI(pre-deliveryinspection), warranty, other work to be performed onnewunits
  • Maintain/track open field service jobs
  • Order parts and/or outside services
  • Coordinate with vendors for orders
  • Process all system and hard copy documentation for all WIP orders
  • OpenLogistics Process Support (LPS)tickets for expediting, pricing, etc.
  • Prepare quotes and invoices and/or close field service and WIP jobs
  • Follow up with Sandvik internally asrequiredto satisfy the requirements of WIP
  • Answer internal and customer inquiries on service, parts availability, deliverytimesand status of orders
  • Look up parts,pricingand availability to provide quotes to customers for service work and audits
  • Open/assist jobs with parts needed from stock equipment
  • Provide monthly reports for team and customers
  • Enter warranty claims and close jobsupon acceptance or rejection of claims

SystemMaintenance

  • Open/maintainbranches insystem
  • Maintain/create technicians insystem
  • Maintain labor cost and sell rate insystem
  • Maintain user parameters, teamauthorizationsand user/branch authorities
  • Train/Assist coworkersregardingsystemswhen issues arise, andwhenthey needassistance
  • Assistco-workers with getting access tosystemas necessary

Administrative Dutiesas Requested

  • Order vehicle safety equipment for fleet
  • Order uniforms for field service technicians
  • Order tools for field service technicians
  • Order office supplies for technicians

Accounting

  • Maintainaccounts payable (AP)links for orders placed; amend and receive orders
  • Work withaccounts receivable (AR)to resolve outstanding balances
  • Work with vendors and customers to be set up in SandvikEnterprise Resource Planning (ERP)system

Additionally, the Service Administrator will:

  • Process all system and hard copy documentation for all WIP orders
  • Secure parts and materials for technician jobs
  • Prepare quote information for parts and service jobs
  • Coordinate with vendors for orders
  • Follow up with Sandvik internal stakeholders asrequiredto satisfy the requirements of WIP
  • Prepare, quote,and invoice jobs(according to scopes provided)
  • Produce reportsforin-process,backlogand future jobs

Minimum Qualifications:

  • 3-5 yearsofexperience inservice administrationor inventory management
  • Demonstrated aptitude for learning new data input systems
  • Intermediate to advanced levelin Microsoft Office,specificallyWordand Excel
  • Demonstrated experiencewith manipulating worksheets, nesting formulas, mathematical and logical functions, and querying data from external sourceswithin Excel
  • Openness to evolvingsystems and workplacestructure

Compensation Range: $60,000 to $70,000
