The Yardi Systems Administrator is a senior-level position responsible for the administration, operational integrity, and user management of the company's enterprise Yardi property management platform. This role serves as the primary escalation authority for functional issues across Voyager and its associated modules, ensuring platform stability, accurate system configuration, and a consistent, high-quality user experience across all departments, properties, and business units. The position demands a comprehensive understanding of Yardi system administration, security and permissions architecture, and the operational workflows that drive property management, leasing, and accounting functions across a large portfolio.
This is a technical Yardi Systems Administration role, not a property operations position. Candidates must have experience administering, configuring, supporting, and maintaining Yardi platforms for a multifamily organization. Experience limited to using Yardi as a leasing, property management, accounting, or onsite operations end user will not meet the requirements of this position.
Beyond issue resolution, this role takes ownership of user access governance, supports configuration updates and system enhancements, contributes to property onboarding initiatives, and serves as a trusted point of contact between the Yardi team and corporate leadership. This individual is expected to operate with a high degree of autonomy, exercise sound judgment in evaluating and prioritizing competing demands, and bring a proactive mindset to identifying gaps and improving Essex's Yardi posture across the organization. The ideal candidate is an experienced Yardi professional who combines deep platform knowledge with strong organizational instincts and the communication skills to engage credibly with stakeholders at every level of the company.
This role is part of Yardi group in the Enterprise Applications team which is part of the larger Essex Technology team. The Essex Technology team is an all-inclusive group of passionate technologists dedicated to collaborating with each other while supporting and driving Essex to a tech-forward future.
WHAT YOU WILL DO:
  • Serves as the primary escalation point for Yardi tickets, receiving and resolving issues that front-line support cannot handle independently.
  • Investigates, diagnoses, and resolves functional Yardi issues across modules including Voyager Residential, RENTCafé, PAYScan, Maintenance, and Commercial.
  • Coordinates with Yardi Client Support on cases that require vendor involvement; tracks open cases to resolution and keeps stakeholders informed.
  • Manages Yardi security across the portfolio: assigning and modifying security roles and permissions, and ensuring access aligns with job function and company policy.
  • Leads and supports smaller-scale Yardi projects such as module configuration updates, workflow adjustments, form changes, and process rollouts that fall within the administrative scope of the role.
  • Assists with testing and validation of system updates, configuration changes, and new feature rollouts.
  • Supports onboarding of newly acquired properties or communities into the Yardi system: verifying entity setup, loading initial data, and confirming workflows and integrations.
  • Tracks and manages an active project task list; provides regular status updates to leadership and relevant stakeholders.
  • Acts as the primary Yardi point of contact for corporate leadership and department heads - handling their system needs with a high level of responsiveness and professionalism.
  • Responds to ad-hoc requests from corporate teams for data pulls, report access, system navigation assistance, and configuration questions.
  • Prepares and distributes Yardi-related communications, announcements, and user guidance materials on behalf of the department (e.g., maintenance windows, new feature notices, process updates).
  • Assists in preparing materials for leadership presentations, platform reviews, regular SOX audits, and department planning discussions as directed by management.
  • Maintains accurate internal documentation of system configurations, user security standards, and escalation procedures in coordination with the Solutionist Team.

WHAT YOU WILL NEED:
  • 3+ years of hands-on Yardi System Administration experience supporting Yardi Voyager and related modules within a multifamily housing organization.
  • Demonstrated experience serving as a Yardi Administrator, Yardi Systems Analyst, Yardi Application Administrator, or similar enterprise platform support role; experience as a Yardi end user only is not sufficient.
  • Strong expertise administering Yardi security, including user provisioning, role configuration, permission management, and access governance.
  • Experience troubleshooting, diagnosing, and resolving complex Yardi functional and configuration issues across multiple business groups.
  • Working knowledge of Yardi Voyager Residential and related platforms such as RENTCafé, PAYscan, Maintenance, CRM, Elevate, Forecast Manager, or other Yardi products.
  • Experience managing system configurations, workflow changes, module implementations, upgrades, testing, and production support activities.
  • Proven ability to partner with Yardi Client Support to research, escalate, and resolve platform-related issues.
  • Multifamily industry experience required, preferably supporting a large multifamily owner, operator, REIT, or property management organization utilizing Yardi as its primary property management platform.
  • Experience supporting property acquisitions, community onboarding, entity setup, data validation, and system conversions is strongly preferred.
  • Strong analytical and problem-solving skills with the ability to translate operational business requirements into effective system solutions.
  • Ability to communicate technical concepts to both technical and non-technical stakeholders.
  • Experience creating system documentation, user procedures, training materials, and support resources.
  • Excellent customer service, organizational, written, and verbal communication skills

WHAT THE JOB REQUIRES:
  • This position requires the ability to work Monday through Friday. It includes a hybrid work arrangement with in-person office requirements a minimum of four days per week (Monday through Thursday) at Essex's corporate office in Irvine. The hybrid policy is subject to change at Essex's sole discretion.
  • Work is primarily conducted in an office setting. Requires sitting at a desk or workstation for extended periods. Involves the use of standard office equipment such as computers, phones, and printers. Requires the ability to sit or stand for extended periods. Minimal physical effort in the day-to-day tasks.
  • Travel may be required for occasional meetings, training, or conferences.

New hires generally start between $94,000.00 - $117,000.00 per year. The final salary offer will be determined after reviewing relevant factors, including but not limited to skill sets; relevant experience; internal equity; and other business and organizational needs.
This role is also eligible to participate in Essex's discretionary Annual Bonus program that is commensurate with the level of the position.
