Job description

Talis Group’s company client is a growing law firm in Floyds Knobs, Indiana.

This firm is seeking a Legal Portfolio Coordinator to support the management of a national tax lien portfolio.  This position will work closely with senior team members and the firm’s largest client to coordinate tax sale registrations, portfolio tracking, county communications, document management, compliance reporting, and redemption processing.  

This is an excellent opportunity for an administrative professional who enjoys detailed work, managing deadlines, working with multiple stakeholders, and handling large volumes of information in a fast-paced environment.  Preferred candidates will have prior experience in law firms, title companies, mortgage servicing, banking, real estate, or compliance-related environments.
 
This full-time, direct hire position offers $19-$20 per hour ($39k-$42k annually), comprehensive benefits package, paid time off, and paid holidays.  The hours are Monday-Friday, 8:30am-5pm, working onsite.
 
Highlighted Duties:
  • Coordinate registration and preparation for tax sales across multiple states.
  • Assist with deposits, payment processing, certified checks, and wire transfers.
  • Maintain and update tax sale tracking databases and reporting systems.
  • Process tax sale certificates and related documentation.
  • Upload, organize, scan, and maintain electronic and physical records.
  • Coordinate certificate recording with counties and municipalities.
  • Communicate with county offices regarding recording requirements, fees, redemptions, and tax sale matters.
  • Monitor redemption notices and update portfolio tracking reports.
  • Prepare shipping documents, coordinate mailing of certificates and legal documents, track parcel statuses, and maintain accurate portfolio records.
  • Follow up with counties regarding outstanding redemption funds and matured properties.
  • Prepare weekly and periodic portfolio reports.
  • Communicate with attorneys nationwide regarding file status updates.
  • Assist with compliance reporting and regulatory submissions.
  • Maintain internal tracking systems, spreadsheets, and servicing matrices.
 
Highlighted Requirements:
  • 2+ years of administrative, legal administrative, operations, banking, mortgage servicing, title, real estate, or document management experience required.
  • Preferred experience working with legal documents, public records, or regulatory reporting.
  • Strong proficiency with Microsoft Excel, Word, and Outlook required.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Comfortable communicating with government agencies, attorneys, and business professionals nationwide.
  • Experience maintaining databases, spreadsheets, and electronic records.
  • Ability to work independently while supporting a collaborative team.
