Job Description
The Office of Administrative Systems Transformation is seeking a skilled Senior Systems Analyst to support department team initiatives for process analysis and improvement, technology implementation, and governance frameworks. Success in this role requires engagement with business areas, product owners, technical and security support, as well as platform vendor contacts.
A primary focus is understanding AI and automation capabilities in systems directly supported and aligning with enterprise programs, solutions and controls for business process value. Key skills involve all aspects of enhancement and adoption, including analysis, recommendation development and presentation, requirements management, process design and improvement, monitoring metrics, and successful ongoing operations.
Senior System Analysts support the long-term goals of the Office of Administrative System Transformation (OAST) through consultation, process improvement and digital transformation. Responsible for providing the most advanced functional expertise on OAST software applications and integrations, evaluating business processes, making recommendations, developing innovative solutions, and improving processes using digital standards and technology. Maintains and optimizes existing platforms as well as plans, manages, and facilitates installation of medium/large sized software programs or other technical projects to implement new functionality or to support systems, processes, or project teams across OAST. Leads teams to manage operational support for break/fix or issue resolution, software updates, optimization sprints, and leads the team toward leading practices. Informs and advises Senior Managers and Directors on strategic product direction relevant to Mayo to develop product roadmaps. Manages installation of new modules, applications, integrations, process workflows, training documents, reports, or tables. May provide project plans and other design documentation to facilitate implementation of projects, processes, or training concepts and be responsible for maintaining the project portfolio, advising on strategic initiatives, and tracking the value. Ensures appropriate testing for system enhancements and integrations are complete and accurate before implementation. Utilizes My Oracle Support (MOS) or other vendor support tools and drives issue/ticket resolution with vendor(s). The Sr. Analyst is responsible for evaluating business processes, making recommendations, developing innovative solutions, and improving processes using digital standards and technology. Leads teams with appropriate stakeholders in OAST , IT, Core Domains (HR, FIN, SCM), and Operations. A strong background in Supply Chain, Finance, Human Resources, engineering, or healthcare is expected, with expertise in digital technology including modern analytics, process automation, applications programming interfaces (APIs), and product management. Sr. Analysts need to be skilled in process improvement, innovation, project management and application support and/or configuration experience with HR, Supply Chain or Finance technology, ERP/ /large integrated systems, and/or data warehouses. Creates unique use case scenarios to assist creation of testing plans. Identifies functional requirements with user community when new applications are proposed, including but not limited to integrations and reporting and analytics, and maintains functional requirements when existing systems are changed. Partners with appropriate technical resources to create and update functional and technical design documentation. Validates requirement information with the stakeholders to ensure completeness, correctness, and clarity. Validates solutions to ensure it satisfies the stated requirements. Estimates non-IT resource allocation for software enhancements and develops the project timeline to coordinate with other competing projects. May work with IT to assist in IT resource allocation for budgeting purposes. Provides sizing documentation for resource allocations. Closely monitors resources and escalates resource issues to leadership. Leads efforts with external vendors and/or internal stakeholders to escalate issues and attain resolution. Supports Systems Analysts as needed. Initiates solutions through understanding of data and database structure (i.e., clinical, and non-clinical systems) to provide resolution for complex issues. Facilitates discussion with leadership. Leads effective business meetings, which includes participants throughout Mayo Clinic. Must have the ability to logically translate and disseminate technology insights to non-technical stakeholders. Provide presentations to senior leadership. Recommends and prioritizes enhancements to existing computer software applications or hardware in collaboration with department Leadership, IT, staff, and end users. Leads efforts to redesign and transform systems and workflows to utilize computer systems effectively. Collaborates with IT to resolve issues within Mayo information systems. Leads the acquisition of additional computer systems to realize process improvements. Documents changed processes and ensures changes are incorporated into training and internal control materials for staff and other users. Ensures applicable systems and processes meet and comply with federal and state requirements. Understands internal control documentation and testing requirements and applies to ongoing processes as well as new software/hardware installations. Ensures a control environment is maintained to preserve Mayo Clinic's Standard of Ethics and minimize financial and legal risks for the organization. Mentors and develops staff. May work evening and weekend hours as needed. May be required to provide 24/7 on-call support.
Qualifications
HYBRID: This is a hybrid position and must be located within 100 miles of any of the Mayo Clinic campuses for on-site expectations based on business needs.
Bachelor's degree with minimum of 8 years of relevant experience
or
Master's degree with 6 years relevant experience.
Relevant experience is considered in administrative areas such as HR, Finance, Supply Chain, Healthcare, or Information Technology.
Previous healthcare experience and extensive knowledge of administrative systems required. Knowledge and experience with administrative systems, project management, systems analysis and design, software testing, process management or engineering, systems documentation preparation, financial operations, and data management and analysis required.
Must be customer-service oriented, timely in responses to requests for service/information, able to manage multiple tasks, teams and/or priorities, and able to work independently. Strong in leadership skills. Proficiency with Microsoft Office software required. Knowledge of SQL, operating systems, and Microsoft Project preferred. Experience with system workflow (LEAN and Six Sigma) processes preferred, and knowledge of department systems such as, but not limited to Oracle and UKG is preferred.
System certification preferred but not required (e.g., Oracle certification).
Advanced academic degree (PhD) of a related field preferred.
