Job description

The National Association of Mutual Insurance Companies (NAMIC) has a new opportunity for a Senior Event Coordinator in our Events, Education & Association Services Department. This position performs sponsorship fulfillment and meeting coordination functions to support the event team that plans meetings, seminars, virtual educational programs, and related events.
Essential functions of the position include:
  • Assists in the coordination of meeting and sponsorship details on-site at events.
  • Supports and coordinates marketing and social media efforts for in-person and virtual events including drafting and proofing of copy, and maintaining tracking worksheet. Researches and proposes event-specific needs for items like event activities, vendors, décor, entertainment, and other event options within the proposed budget upon request from the planner.
  • Supports meeting planners in coordination of meeting planning details (speaker coordination, presentation material coordination, optional activity coordination, preparation of meeting specifications and hotel room lists, etc.) for event activities as assigned.
  • Maintains business records and history for events including meeting space needs, F&B expenditures, budget, satisfaction ratings, event held ICW, etc.
  • Works directly with member company committee representatives or programming leaders to determine important presentation topics, ideas for potential speakers and managing efforts to secure these and other details for event in respective meeting planning.
  • Assists meeting planners with developing and updating event project timelines.
  • Conducts the fulfillment of sponsorship details as outlined within the sponsorship agreement for assigned events & education products including in-person, virtual events, and certification programs.
    • Sponsorship fulfillment tasks may include items like requesting logos, mailing attendee lists, ordering sponsored gift items, developing sponsorship signage, etc.
  • Coordinates communications relating to event sponsorships.
  • Provides customer service support, including using positive telephone skills, responding promptly to e-mails and phone calls, etc., from customers/members inquiring about virtual education and meetings.
  • Maintains sponsorship/advertiser/exhibitor databases.
  • Supports all aspects of the Education & Events office operations, including following office procedures, organizing and using filing systems, maintaining department work areas, and related duties.
  • Provides vacation and out of office coverage for the events team.
  • Performs related duties as required.
  • Builds and maintains positive working relationships with management, staff members, and external contacts.
  • Arrives at work on time and maintains a positive attendance record.
  • Performs any other duties and projects as assigned.

Qualifications include:
  • Bachelor's degree in a related field, or equivalent experience preferred.
  • Event coordination or sponsorship experience is a plus.
  • Proficient use of PC, including database management and Microsoft Office functions.
  • Availability for occasional travel to be on-site for events.
  • Ability to successfully pass a criminal background and MVR check.
