Enrollment & Admissions Coordinator

MyndBridge is a workforce development and enrichment organization rooted in Nassau and Queens, New York. We deliver certification training, after-school programs, 1-day workshops, and in-school educational partnerships. Every program we run starts with one thing — a participant who is fully enrolled, documented, and ready to begin. That is where you come in.

The Opportunity

The Enrollment & Admissions Coordinator is the closer of the Growth team. Sales brings the lead. You finish it. By the time a participant reaches Programs, they are fully enrolled, fully documented, and fully paid — because you made sure of it. This role is not glamorous. It is essential.

Who You Are

You are precise, organized, and calm under volume. You do not let things fall through the cracks — not a missing document, not an unpaid balance, not an incomplete CRM record. You treat every participant interaction with warmth and professionalism because you understand that enrollment is the first real experience someone has with MyndBridge. You take ownership of your process. When something is incomplete, you fix it — you do not wait to be told.

What You'll Do

• Receive qualified leads from the Sales team via CRM and manage the full enrollment process from application to program start

• Verify eligibility documentation — ID, residency, income verification, and program-specific requirements

• Collect and process tuition payments for paid programs — payment plans, employer sponsorships, and direct payments

• Maintain complete, accurate CRM records for every enrolled participant — zero gaps tolerated

• Coordinate program placement with the relevant Program Manager — ensuring every participant is assigned to the right program, site, and start date

• Manage waitlists — communicating proactively with prospective participants and converting waitlisted leads when seats open

• Process enrollment paperwork within 48 hours of receiving a qualified lead

• Support grant compliance by ensuring participant documentation meets WIOA and funder requirements

• Serve as the participant's first point of contact for administrative questions during the enrollment process

Performance Standards

• Enrollment completion rate: 95%+ of leads converted to fully enrolled participants

• Payment collection rate: 100% — no participant passes to Programs without confirmed payment

• Processing time: under 48 hours from qualified lead to completed enrollment record

• CRM accuracy: zero incomplete or inaccurate records

What You'll Bring

Experience & Skills

• 1–3 years in enrollment, admissions, case coordination, intake, or administrative support — education, workforce development, healthcare, or social services preferred

• Experience processing applications, verifying documentation, and managing compliance requirements

• Demonstrated accuracy and attention to detail in data entry and record keeping

• Experience handling payment processing or financial transactions in a professional setting

• Strong interpersonal skills — this role has direct participant contact and represents MyndBridge at a critical first touchpoint

• Bilingual English/Spanish a plus — not required

Technology

• CRM data entry and record management — HubSpot, Salesforce, or equivalent; must maintain data accuracy standards

• Google Workspace proficiency — Sheets for tracking, Docs for correspondence, Gmail and Drive for document management

• Experience with enrollment, student information, or case management systems — or willingness to learn quickly

• Comfort with digital payment platforms and invoicing tools

• Document management — scanning, uploading, organizing, and maintaining digital participant files

Compensation & Benefits

• Base Salary: $38,000–$44,000 annually, commensurate with experience

• ICHRA Health Benefit: $7,500 annually toward individual health coverage of your choice
