POSITION SUMMARY
The Bank Operations Specialist owns the operational execution that keeps GreenWay Bank running efficiently, accurately, securely, and in compliance. This position serves as the trusted operational resource for branches and departments across the organization by performing critical operational functions, administering key banking systems and platforms, mitigating operational risk, and supporting the accurate delivery of banking products and services.
The Bank Operations Specialist performs a broad range of operational responsibilities, including payment processing, digital banking administration, fraud monitoring and reporting, reconciliations, exception management, core system administration, operational reporting, compliance support, system testing, and operational support functions. This position collaborates closely with Customer Support, Business Solutions, Commercial Loan Operations, Retail Banking, and other internal partners to ensure operational excellence while delivering exceptional internal service.
Success in this role requires exceptional attention to detail, sound judgment, adaptability, continuous learning, and a commitment to accuracy, compliance, teamwork, and continuous improvement.
ESSENTIAL RESPONSIBILITIES & DUTIES
Operational Execution
  • Performs assigned operational responsibilities accurately, timely, and in accordance with established policies, procedures, regulatory requirements, and internal controls.
  • Processes and supports operational activities including ACH processing, wire processing support, exception processing, reconciliations, reporting, account maintenance, and other assigned back-office operational functions.
  • Administers and supports the Bank’s digital banking platforms, including system configuration, maintenance, monitoring, testing, security administration, and troubleshooting.
  • Performs assigned core banking system administration responsibilities, including maintenance, processing, configuration, user support, and operational administration.
  • Performs daily operational reviews to ensure transactions, systems, and operational activities are processed accurately, efficiently, and within established service standards.
  • Maintains a thorough understanding of assigned operational systems, products, services, and departmental responsibilities.
Risk, Compliance & Quality
  • Monitors operational exceptions, fraud reports, disputes, system exceptions, and other operational risks while escalating concerns through established channels.
  • Supports internal and external audits, compliance reviews, regulatory examinations, and documentation requests.
  • Maintains compliance with applicable banking laws, regulations, policies, procedures, and operational controls.
  • Identifies operational risks, processing concerns, control weaknesses, or service opportunities and recommends improvements to the Senior Bank Operations Administrator.
  • Maintains complete and accurate operational records, documentation, and reporting.
Systems & Technology
  • Participates in system implementations, software upgrades, enhancements, user acceptance testing, and validation of operational processes.
  • Assists in maintaining integrity, security, availability, and effective operation of banking systems, operational platforms, and related technologies.
  • Researches and assists in resolving operational and system-related issues while collaborating with internal departments, vendors, and technology partners through appropriate channels.
Customer & Internal Support
  • Serves as a trusted operational resource for branches, Customer Support, Business Solutions, Commercial Loan Operations, and other internal departments.
  • Responds to operational questions, researches issues, and assists internal partners in resolving customer and operational concerns.
  • Delivers exceptional internal service by providing timely, accurate, and professional operational support throughout the organization.
Continuous Improvement
  • Identifies opportunities to improve operational efficiency, internal controls, customer experience, workflow effectiveness, and service quality.
  • Recommends process improvements to the Senior Bank Operations Administrator and actively participates in implementing approved enhancements.
  • Maintains proficiency in evolving banking products, operational processes, technology, regulations, and industry best practices.
Collaboration & Cross-Training
  • Cross-trains across assigned operational functions to provide effective backup coverage and ensure business continuity.
  • Provides backup and support for operational responsibilities identified within the departmental Responsibility Matrix.
  • Builds collaborative working relationships across departments while promoting teamwork, knowledge sharing, accountability, and operational consistency.
  • Perform other duties, responsibilities, and special projects as assigned

QUALIFICATIONS
  • Education
    • High school diploma or equivalent required.
    • Associate’s degree in Business, Communications, Finance, Accounting, Banking, or a related field (or equivalent work experience) preferred.
  • Experience
    • Minimum of three (3) years of banking operations, deposit operations, retail banking support, or related financial services experience preferred.
    • Experience with core banking systems, digital banking platforms, payment systems, and operational processing preferred.
  • Knowledge, Skills, & Abilities
    • Strong understanding of banking operations, payment systems, operational controls, and applicable banking regulations.
    • Demonstrated ability to manage multiple priorities while maintaining exceptional accuracy and attention to detail.
    • Strong analytical, organizational, critical thinking, and problem-solving skills.
    • Excellent written, verbal, and interpersonal communication skills.
    • Ability to learn new technologies, adapt to changing priorities, and embrace continuous improvement.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT
This position primarily operates in a banking branch office environment and routinely uses standard office equipment, computers, phones, printers, scanners, cash handling equipment, and other banking technology systems while providing service to customers.
While performing the essential functions of this role, the employee may be required to:
  • Frequently move throughout the branch office environment to assist customers, access workstations, retrieve supplies, or perform operational tasks
  • Handle cash, coin, negotiable instruments, and other financial documents with accuracy and attention to detail
  • Occasionally bend, reach, stoop, or kneel while performing branch or operational responsibilities
  • Remain in a stationary position for extended periods of time
