Position Description: School Data Systems Administrator

Elijah House Academy is looking for a School Data Systems Administrator to join our team of passionate professionals. Spread the word. It's a great job at a wonderful school!

Position Goals :

This position is primarily responsible for designing and maintaining school systems. This position organizes academic data for evaluation and reporting, manages logistics and scheduling of programming, manages all Title grants under the direction of the DOA, and provides teacher support. Included in this position is the management of EHA computers and Google Workspace for students.

Position Reporting Responsibility:

This position reports directly to the Dean of Academics.

Qualifications:

Anyone who is seeking this position at EHA must:

  • Understand and be in agreement with the EHA statement of religious beliefs and demonstrate the fruit of spiritual maturity
  • Understand and be in agreement with EHA's mission, vision, values, and POE
  • Demonstrate an understanding of and commitment to urban Christian education including a mature ability to steward cross-cultural relationships well
  • Demonstrate soft skills such as emotional intelligence and conflict resolution

Experience in

  • Instructional Leadership experience
  • Data manipulation and analysis
  • Computer systems management and problem solving, preferably to include Student Information systems and Google Workspace

Position Functions and Essential Duties:

A FACTS Student Information System

  1. Acts as the administrator as it pertains to staff and enrolled students
    1. Manages staff on/offboarding (profile, security, etc.)
    2. Assists Admissions in troubleshooting
    3. Manages EOY progressions
    4. Manages system defaults for each term
    5. Manages integration with other systems (Library: Mandarin mlasolutions, MAP: Clever)
  2. Manages all academic data
    1. Creates student schedules
    2. Creates and manages web forms for student data (Dismissal transportation)
    3. Uploads MAP scores
  3. Assists teachers with FACTS Classroom procedures and troubleshooting
  4. Manages academic reporting
    1. Designs report templates
    2. Reviews RC/PR edits, printing, distribution, and archive
    3. Creates and updates high alert list for students (behavior, attendance, academic achievement) each RC/PR
    4. Provides data to other departments for annual reports

B Title Grants Manager

  • Prepare, submit, and monitor Title federal forms, budgets, and requests with each school-division
  • Manage budget requirements, track expenditures, submit vendor invoices
  • Collect and manage student data for Title I eligibility

C Designs/Assists in Scheduling and Logistics for School Programming

  1. Daily schedules (Intervention times, lunch, recess, Enrichment, library)
  2. School year (concerts, Mentee events)
  3. Organizes student data to create car tags, dismissal card information, and Chapel dismissal information
  4. Creates and formats forms for the school calendar, field trips, and event planning

D NWEA MAP Testing

  1. Manages NWEA teacher and student data
    1. Ensures correct transfer of data using Clever
    2. Ensures integrity of reporting
  2. Administers testing of 1st-8th grade applicants throughout Feb - Aug
  3. Test Administrator and Proctor for K-8 standardized MAP testing 3 times a year
  4. Assists teachers with navigating and reporting in the NWEA system

E Manages EHA computers and associated supplies

  1. Determines computer and license needs for staff and students
  2. Troubleshoots software and hardware issues
  3. Performs yearly check-ups for staff computers
  4. Sets/resets new computers for staff following secure procedures

F Software Systems Administrator

  1. Maintain and ensure software systems work successfully.
  2. On/offboard staff and students to/from all software systems
  3. Manage users, troubleshoot
    1. FACTS, IXL, NWEA, HMH (see above)
    2. Google Workspace
      1. Manages user accounts
      2. Sets up new student devices and licenses
      3. Monitors dashboard and investigates any concerns
      4. Maintains a safe workspace environment for students
  4. Integrates software systems, digital tools, and educational technology into school curriculums and administrative workflows.
    1. MLAsolutions - Library integration with FACTS
    2. Clever (Google integration with FACTS and NWEA/HMH)
  5. Microsoft 365
  6. Admissions FileUploader
