Villa at Silverbell Estates is seeking a Scheduling Coordinator to join their team! The Scheduling Coordinator is responsible for scheduling the staff to ensure appropriately licensed/certified employees meet needs. Prepares and maintains daily and monthly schedules as staffing needs arise.

Scheduling Coordinator Duties and Responsibilities:

  • Understanding of scheduling system and shift management, aligning staff to support hours via scheduling. 
  • Meets with HR designee, Administrator, and DON to review previous, current and future staffing pattern status; in addition, reviews staffing requirements and staffing/hiring needs. 
  • Develops, implements, and coordinates the day-to-day scheduling and assignments of nursing staff consistent with PPD management and minimum staffing requirements. 
  • Attends and participates in in-service training, performance improvement (“QPI”) committees and other meetings as scheduled and directed. 
  • May maintain inventory and issue uniforms to newly hired employees, as assigned. 
  • May maintain records of all in-servicing for all staff, partnering with HR designees and training department to schedule required training. 
  • Monitors labor hours to ensure scheduled hours don’t exceed budgeted work hours. 
  • Tracks absences and reason for absences for purposes of infection control, maintaining confidentiality.
  • May maintain inventory of supplies, submit orders, and process invoices, depending on facility’s needs. 
  • All other duties, as assigned.

Scheduling Coordinator Skills and Abilities:

  • Ongoing and in-depth understanding of the financial modules used to support processes and patient care
  • Strong verbal and written communication skills in English to perform the tasks required.
  • Sufficient computer and budgeting skills required to perform duties.

Scheduling Coordinator Education and Experience:

  • High School Diploma or equivalent. 
  • +1 year of Point Click Care (PCC) Experience, preferred. 
  • Bookkeeping or accounting experience, preferred.
  • Prior experience working with the elderly and / or in long term care, preferred.

Physical Requirements: 

  • Walking, reaching, bending, lifting, extended sitting, grasping, fine hand coordination, pushing and pulling, ability to distinguish smells and temperatures, all with or without the aid of mechanical devices is required.
  • Limited potential for exposure to environmental hazards. Understanding and adherence to company safety standards and protocols required.
