The Scheduling Coordinator is responsible for scheduling and coordinating appointments, maximizing clinician schedules, verifying insurance and providing a positive patient experience. The coordinator answers incoming calls within appropriate timelines and meet productivity and quality standards set by the organization. The coordinator is responsible for reviewing provider schedules daily to ensure maximum capacity met. This position is required to effectively communicate with clinical teams, nurses, and clinicians to relay information to the appropriate clinic as needed. Adheres to policies, procedures and regulations to ensure compliance and patient safety. Participation in Compliance and other important training is a condition of employment.
This position is full-time (40 hours/week) Monday - Friday. Employees are required to work an 8-hour shift schedule during our normal business hours of 8:00am - 5:00pm MST. It may be necessary, given the business need, to work occasional overtime. Our office is located at 303 Roma Avenue NW, 5th floor, Albuquerque, NM 87102.
We offer 6 - 12 weeks of paid training. The hours during training will be 8:00 am to 5:00 pm MST, Monday - Friday. Training will be conducted onsite and will go remote after.
Primary Responsibilities:
  • Accurately schedules and coordinates patient appointments for assigned clinics.
  • The ability to work in a high call volume environment while meeting productivity and quality standards.
  • Analyzing provider schedules to ensure maximum capacity is met.
  • Obtains eligibility and benefit information in a timely manner: assigning FSC (Financial Class) benefits, and all other related activities i.e. transfers, demographic data changes in EPIC.
  • Registering patients in EPIC including updating patient demographics, current insurance information, current primary care provider, emergency contacts, and all relevant fields.
  • Use appropriate text templates in the electronic health record, sending encounters using the electronic health record, and ability to multitask between business office systems and the electronic health record.
  • Performs other duties as assigned.

Required Qualifications:
  • High School Diploma / GED OR equivalent work experience
  • Must be 18 years of age OR older
  • 1+ years of related customer service experience in a call center, medical office/healthcare facility, healthcare insurance carrier, OR scheduling field
  • 1+ years of healthcare experience to include scheduling experience and verification of eligibility and benefits
  • Knowledge of Medical Terminology
  • Experience with computer systems and Microsoft Office (Microsoft Word, Outlook and Microsoft Excel)
  • Ability to work our normal business hours from 8:00 am - 5:00 pm MST from Monday - Friday. It may be necessary, given the business need, to work occasional overtime
