Job Purpose
The Senior Administrative Specialist provides high-level administrative, information management, and operational support in a fast-paced federal contracting environment. This position supports records and information management activities, conference and training room coordination, audio/visual support, reporting functions, and general administrative operations. The ideal candidate possesses strong organizational, technical, and customer service skills with the ability to manage multiple priorities and support mission-critical administrative functions.
Responsibilities:
  • Provide administrative and information management support for organizational operations and programs.
  • Maintain electronic and hard-copy records in accordance with records management policies and retention requirements.
  • Coordinate, organize, and maintain databases, reports, correspondence files, and administrative documentation.
  • Provide support for conference rooms, training rooms, and business center operations, including scheduling and room setup.
  • Troubleshoot basic audio/visual equipment issues during meetings, conferences, and training events.
  • Assist with preparation and editing of presentations, reports, spreadsheets, and audio/visual materials.
  • Support records digitization initiatives through scanning, indexing, filing, and electronic document management.
  • Assist with the development and implementation of administrative procedures and workflow improvements.
  • Provide customer support to internal staff and external stakeholders in a professional manner.
  • Generate reports and analyze administrative data to support operational effectiveness.
  • Assist with onboarding/offboarding activities, supply inventory management, and administrative coordination.
  • Support facilities and operational management activities as assigned.
  • Maintain confidentiality and properly safeguard sensitive information.
  • Perform additional administrative and operational support duties as assigned.
Requirements:
  • Bachelor's degree in Business Administration, Information Management, or a related field; equivalent certifications may be considered.
  • Minimum of ten (10) years of administrative management or related professional experience.
  • Experience developing and implementing administrative or information management procedures and processes.
  • Experience with records and information management functions.
  • Experience supporting federal government contracts or administrative operations.
  • Experience troubleshooting audio/visual equipment and presentation connectivity issues.
  • Proficiency with Microsoft Office Suite, databases, SharePoint, and other computerized systems.
  • Strong written and verbal communication skills.
  • Demonstrated ability to prioritize work, manage multiple assignments, and meet deadlines.
  • Strong organizational and analytical skills.
  • Ability to provide excellent customer service in a professional office environment.
  • Ability to lift and move files and file boxes as needed.
  • Must have an active Secret Clearance
