Job description

Summary: Provide administrative and client support for the Behavioral Healthcare outpatient clinic in Framingham. Primary duties are to schedule clients for upcoming appointments with a counselor or medication provider, in-person or via phone or zoom. At times will act as client liaison to help them connect with parties who will be resolving client billing and access to care. Greet and check-in clients and perform front desk administrative duties as necessary.

Primary Responsibilities:

  • Greet clients, answer phones, and schedule new appointments.
  • Inform staff of client arrival and non-payment issues.
  • Use the Vital platform for sending appointment reminders.
  • Use the CareLogic electronic health record to view clinician availability and schedule appointments.
  • Fax, copy, and file as needed.
  • Assist clinical staff with administrative needs.
  • Provide backup support to Office Manager when needed.
  • Attend & participate in engagement team meetings as requested and communicate effectively with clients and staff in other areas.
  • Engage all clients by understanding and addressing their needs whether within or outside the scope of work.
  • Maintain confidentiality of client, employee and agency information in accordance with federal and state laws and funder requirements.
  • Ensure compliance with program/department, agency and/or funder requirements, as well as SMOC policies & procedures.
  • Other duties as assigned.

Knowledge and Skill Requirements:

  • Prior experience in a medical reception or administrative capacity preferred.
  • Bilingual required (English and Portuguese).
  • Friendly demeanor, solid organizational skills.
  • Computer skills including working knowledge of Word and Excel.
  • Strong customer service skills including verbal communication skills.
  • Strong understanding of client billing and clinic EHR system (Care Logic).
  • Dress Code: Business casual.

Organizational Relationship: Directly reports to Framingham Office Manager. Indirectly reports to Clinical Director and Operations Director. Direct reports of this position are none.

Working Conditions: Hours will be scheduled during clinic business hours, Monday through Friday. As part of the responsibilities of this position, the SBH Administrative Assistant - Scheduler will have direct or incidental contact with clients served by SMOC in various programs funded or administered through the Executive Office of Health and Human Services. A successful background check is required.

Hybrid Work Option: Hybrid work is permissible in some positions at SMOC depending on the key functions and responsibilities. The Administrative Assistant Scheduler position is eligible to work from home 20% of the week in scheduling coordination with the department manager.


Monday through Friday: 9:00AM - 5:00PM. Includes a 1-hour unpaid lunch break.
35 Hours per week.
