About the Opportunity

We are seeking a professional, organized, and customer-focused Sales Support Associate to join our team in Ontario, California. This is an excellent temp-to-hire opportunity for an individual seeking long-term employment and career growth with an established company.

The Sales Support Associate will provide day-to-day support to sales representatives, distributors, dealers, management, engineering, marketing, and customers. The ideal candidate is highly organized, detail-oriented, professional, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities

Sales & Customer Support

  • Manage daily sales support activities for an assigned territory, including representatives, distributors, dealers, and customers.
  • Respond promptly and professionally to customer phone calls, emails, website inquiries, and requests.
  • Forward qualified leads to appropriate sales representatives and regional managers.
  • Prepare and provide accurate written quotations to representatives, distributors, and customers.
  • Provide exceptional customer service while developing and maintaining positive relationships with internal and external customers.

Order Processing & Administration

  • Retrieve, review, and process sales orders for the assigned territory.
  • Enter and process standard and custom orders while ensuring accuracy and completeness.
  • Review orders for pricing, product specifications, and other requirements.
  • Follow up on outstanding questions, pricing issues, and order-related matters.
  • Retrieve orders from customer portals and ensure timely processing, maintenance, and acknowledgment.
  • Maintain accurate and organized order records and documentation.
  • Review and approve applicable freight invoices within the assigned territory.
  • Manage Cash-in-Advance customer setup, pro forma invoicing, payment follow-up, record maintenance, and order processing.
  • Update customer portals and distribute completed invoices by email or mail as required.

Returns, Claims & Customer Resolution

  • Research and process Return Material Authorizations (RMAs) and customer return requests.
  • Research and process freight claims.
  • Investigate and respond to quality and warranty-related concerns.
  • Coordinate with appropriate internal departments to ensure customer issues are addressed promptly and professionally.
  • Maintain clear documentation and follow-up throughout the resolution process.

Custom Products & Cross-Department Support

  • Assist representatives, distributors, and customers with the design, development, and pricing of custom products.
  • Collaborate with Management and Engineering on custom-product development and costing.
  • Work with Marketing and Engineering to coordinate drawing requests for quoted and ordered custom products.
  • Provide Engineering with required documentation for stock-code creation, drawings, CDS forms, and order processing.
  • Support communication between Sales, Engineering, Marketing, Management, and customers to keep projects moving efficiently.

Systems & Special Projects

  • Maintain accurate and current information in ACT and QuoteWerks for quotes and leads.
  • Maintain organized customer, sales, quotation, and order documentation.
  • Assist with special projects and additional responsibilities as assigned by Management.
  • Support continuous improvement of sales-support processes and procedures.

Qualifications & Requirements

  • Ability to work 40+ hours per week as needed.
  • Previous experience in sales support, customer service, order entry, administration, or a related field preferred.
  • Knowledge of the Forbes product line is a plus.
  • Strong verbal and written communication skills.
  • Professional, courteous, and customer-service-focused approach.
  • Ability to work effectively both independently and as part of a team.
  • Excellent organizational and analytical skills.
  • Strong attention to detail and accuracy.
  • Entry-to-intermediate level Microsoft Excel skills.
  • Proficiency with Microsoft Office, including Word and PowerPoint.
  • General computer proficiency and familiarity with Windows-based systems.
  • Ability to prioritize multiple responsibilities, meet deadlines, and manage competing priorities in a fast-paced environment.
  • Strong problem-solving, follow-up, and communication skills.
