What does a SaaS Implementation Specialist do when working remotely?

A SaaS Implementation Specialist working remotely is responsible for helping clients set up, configure, and launch Software as a Service (SaaS) products without being on-site. They manage onboarding processes, provide training and support, and ensure the software integrates smoothly with existing client systems. Communication is often carried out via video calls, email, and collaboration tools, making strong digital communication skills essential. Their goal is to help clients achieve successful adoption and maximize the value of the software.

What are common challenges faced by remote SaaS Implementation specialists and how can they be addressed?

Remote SaaS Implementation specialists often encounter challenges such as coordinating effectively with clients across different time zones, managing communication without face-to-face interaction, and ensuring client adoption of the software. To address these, it’s important to establish clear communication channels, use project management tools for transparency, and schedule regular check-ins with clients and internal teams. Building strong documentation and providing accessible training resources can also help ensure successful implementations and client satisfaction.

What are the key skills and qualifications needed to thrive as a SaaS Implementation Specialist remote, and why are they important?

To thrive as a SaaS Implementation Specialist (Remote), you need a strong background in software implementation, customer onboarding, and project management, often supported by a degree in IT, business, or related fields. Familiarity with SaaS platforms, CRM systems, and project management tools like Jira or Asana, as well as relevant certifications (e.g., PMP or Salesforce certification), is highly beneficial. Excellent communication, problem-solving abilities, and self-motivation are crucial soft skills for managing client relationships and remote work challenges. These skills ensure seamless client onboarding, effective project delivery, and customer satisfaction in a distributed work environment.

Senior Implementation Consultant

NEXGEN Asset Management

Sacramento, CA • Remote

Full-time

Medical, Dental, Vision, Retirement, PTO

Job description

This is a remote position.

The Senior Implementation Consultant plays a key role in delivery of our EAM platform by acting as the primary functional authority and customer advocate throughout the implementation lifecycle — from requirements gathering through go-live and post-deployment hand off. The Senior IC works in close partnership with a dedicated Project Manager to plan and execute onboarding of new clients onto the NEXGEN platform, ensuring every implementation delivers lasting operational value.

The ideal candidate brings deep EAM or CMMS domain expertise, proven facilitation skills, and the ability to translate complex operational requirements into configured software solutions. They are comfortable working across multiple concurrent engagements in a fast-paced, client-facing environment where requirements and priorities may evolve as projects progress.

Key Responsibilities:

  • Lead structured discovery workshops with client operational user groups to elicit, document, and validate functional requirements across all EAM platform modules.
  • Author User Requirements (UR) memoranda capturing validated requirements, configuration decisions, and client-approved scope; maintain requirements traceability throughout each engagement.
  • Analyze current-state and future-state business processes; develop Visio workflow diagrams documenting agreed processes for client review and sign-off.
  • Design and facilitate configuration workshops for each platform module; configure asset hierarchies, work order management, PM schedules, inspection forms, inventory structures, and role-based security models.
  • Provide best practice consulting throughout configuration, coordinating with the integrations team on requirements as applicable.
  • Facilitate UAT sessions across client user groups; manage the issue log through triage, resolution, retesting, and formal closure.
  • Guide clients through data migration and configuration template completion; review submitted data for errors and inconsistencies; coordinate with the data migration team to ensure alignment with system requirements.
  • Support end-user and administrator training readiness in coordination with the Education team; ensure the configured environment is stable and documented prior to training commencement.
  • Provide hands-on functional support during go-live cutover; monitor and triage post-go-live issues; author comprehensive hand off documentation at engagement close.
  • Build trusted advisory relationships with client functional leads and operational managers; partner with the Project Manager to keep functional deliverables aligned with project scope, schedule, and quality expectations.
  • Participate in lessons learned reviews and contribute to continuous improvement of configuration standards, workshop facilitation approaches, and UAT frameworks.

Requirements
  • Bachelor’s degree in Information Systems/Management Information Systems, Engineering, Environmental Science/Management, Business Administration/Management, or a related field; equivalent practical experience considered.
  • 5+ years of hands-on experience as a functional consultant, implementation consultant, or senior business analyst on enterprise B2B/SaaS implementations with direct responsibility for requirements gathering, workflow development, software configuration, and UAT facilitation.
  • Demonstrated experience with EAM, CMMS, or closely related operational technology platforms; familiarity with NEXGEN, IBM Maximo, HxGN/Infor EAM, Cityworks, Accela, or Brightly is a significant advantage.
  • Direct operational or technical experience in utilities (water/wastewater), public works, or facilities management is strongly preferred, with working knowledge of maintenance management and asset lifecycle practices.
  • Proven track record leading structured requirements workshops and facilitating business process discussions with cross-functional stakeholder groups.
  • Experience authoring formal functional documentation: requirements specifications, process workflow diagrams, configuration design records, UAT plans, and hand off documentation.
  • Familiarity with data migration processes, including client data review, field mapping concepts, and data quality validation before system loading.
  • Working knowledge of integration contexts common in EAM implementations (GIS, SCADA, LIMS, AMI/AMR, ERP/financial) as they relate to functional configuration and workflow design.
  • Familiarity with asset management frameworks relevant to utilities and public sector clients preferred.
  • Willingness and ability to travel to client sites across the US up to approximately 20% of the time.

Bonus Skills (Not Required):

  • Project Management certification (PMP, PMI-ACP) or formal PM methodology training.
  • Experience with GIS platforms (Esri ArcGIS) in an EAM integration context.
  • Familiarity with SCADA or LIMS systems as they relate to operational data and EAM configuration.
  • Experience with change management practices in enterprise software deployments.

Desired Traits:

Trusted Advisor, Detail-Oriented, Strong Communicator, Collaborative, Problem Solver, Self-Starter, Adaptable to Change, Commitment to Quality, Domain Expert.

  • Collaborate with an experienced delivery team that values domain expertise, professional rigor, and continuous improvement of delivery practices.
  • Flexible remote-first work environment with a supportive leadership culture and clear pathways for career development.
  • Be part of a high-growth EAM software company with over 20 years of industry expertise and a growing portfolio of utility and public sector clients.
