The Milestone & Validation Specialist will be responsible for assisting the Milestone and Validation Lead in implementing the project plan to ensure it stays within the established milestones, accurately track checklist completion, schedule AHJ and 3rd party inspections. The position will report to the Milestone-Validation Lead. Essential Functions & Responsibilities Responsible for Overseas validation of Open space captures, and drone deploy captures
  • Ensure Open Space captures at all Open Space inspection milestones
  • Ensure Validation of Opens Space captures for correctly assigned inspection requests before they are sent overseas for review.
  • Validation of drone deploy captures for completeness to Plan.
Responsible for On-Site Reporting, checklists and tracking
  • Create critical dimension checklist for each unit type on a project
  • Create all unit labeling for field use, including QR coding as needed.
  • Resource tracking data entry and follow up into resource procurement reports
  • Revise visual communication boards as needed with technical production lead
  • Coordinate documentation control for the project and file appropriately for Closeout procedures.
  • Coordinate distribution of 3rd party inspection reports to all parties
  • Create critical dimension checklist by unit type (doors, window, tubs, island, etc...)
Responsible to Update Constraint logs
  • Update constraint logs and all interdepartmental reporting requirements for Project Solution Meetings.
Coordinate OAC and PSM meetings
  • Coordinate Meeting Agendas and Meeting Minutes for OAC and PSM meetings.
  • Coordinate time, place, persons required.
Responsible to track and complete RFI's Responsible for Version Control

Overseas validation of Open space captures, and drone deploy captures. Update Constraint logs.
  • The RT Ops Team provides relevant data and information based on project constraints that impede progress to the construction plan. The Milestone and Validation Specialist updates the constraint log based off of the information provided. The Process involves setting a priority level, critical path impact dates and due dates of descriptive constraints. This informs the project team, stakeholders, and contractors who rely on this log for informed decision-making and effective project management.
Coordinate OAC and PSM meetings
  • The field teams, commercial team, architects, and contractors will provide agenda items and updates for all required project meetings. Inputs consist of meeting agendas, project progress reports, and participant lists. The Process involves scheduling meetings, facilitating discussions, and accurately documenting key decisions and action items. The Milestone and Validation Specialist is responsible for documenting comprehensive meeting minutes in Procore and follow-up action lists distributed to all participants. Project stakeholders and team members who use this information for effective project collaboration and progress tracking to elevate future concerns/issues that require interdepartmental or consultant coordination.
Track and complete RFI's.
  • RFI submissions are handled by the Technical Project Lead, who specifies due dates and urgency levels. The MV Specialist then organizes RFI logs according to these urgency levels and due dates, ensuring timely responses in alignment with contractual deadlines. Once an RFI is addressed, the MV Specialist notifies the Technical Project Lead to verify if the response meets their needs. This process enables the Technical Project Lead and Commercial Manager to focus on their daily responsibilities while the MV Specialist diligently monitors RFI timelines
Version Control
  • Changes to the drawings are issued as an ASI by the Architect/Consultants. When new ASIs are released, the coordinator evaluates the drawings to identify changes using overlays and comprehensive plan reviews. The coordinator then provides a narrative of these changes to the Milestone and Validation Lead and the Commercial Lead. The MV is tasked with uploading the updated drawings to Procore for each new version and are tasked with informing subcontractors. If there are any cost implications, the Commercial Lead manages the change order process with the subcontractors.
Education, Work Experience, & Physical Requirements
  • Bachelor's degree in related field or equivalent experience.
  • 3-5 years experience in a business or professional setting (inclusive of non-profit or government roles).
  • Proven experience in an executive support role or similar position.
  • Excellent organizational and leadership skills.
  • Strong interpersonal and communication abilities.
  • Proficiency in using business software and tools, including MS Office and project management applications.
  • Ability to handle confidential information with discretion.
