Job description

WHO WE ARE...

ASTOUND is a global experiential powerhouse with three core verticals: Brand Experiences, Sports Experiences, and Immersive Entertainment. From trade shows and large-scale events to experience centers and IP-driven attractions, we create programs that combine creative excellence, operational discipline, and ROI-focused outcomes.

With over 200 employees, a 350,000 sq. ft. production facility, and execution in more than 40 countries, ASTOUND is defining what the modern experiential partner looks like. Now, in our 25th year, we are expanding into a growth engine for our clients—powered by AI, integrated creative, and next-gen content strategy—and for the business itself, driving both revenue and enterprise value.

POSITION OVERVIEW:

The Warehouse Asset Control Administrator serves as the central steward for tracking both Astound-owned rental assets and client-owned property stored at the facility. Acting as a “librarian” for the warehouse, this role ensures that all goods moving in and out are properly logged, monitored, and recorded in the system. While the physical handling of items is performed by warehouse staff, and client communication is handled by project leads, this position ensures the administrative integrity of the asset tracking process.

KEY RESPONSIBILITES:

Asset Library Management:

  • Maintain up-to-date records of all warehouse-stored assets (Astound and client-owned).
  • Monitor check-out and return activity, updating the system in real-time or within set SLAs.
  • Oversee documentation related to asset movement, condition reports, and confirmations.

System Stewardship:

  • Ensure the asset tracking platform (e.g., Excel sheets, WMS, or inventory tools) reflects current asset location, ownership, and usage status.
  • Input and audit data provided by warehouse team and project leads.
  • Flag inconsistencies and follow up with the relevant internal stakeholders for resolution.

Inbound/Outbound Admin Coordination:

  • Log asset dispatches based on instructions from project leads and warehouse team.
  • Verify return documentation and ensure asset status updates post-return (e.g., "returned in good condition", "damaged", "missing parts").
  • Coordinate basic labeling, tagging, or ID assignment for traceability.

Internal Collaboration:

  • Work closely with warehouse employees to stay informed about actual physical movements.
  • Support project leads by providing reliable, up-to-date visibility into asset availability and status.
  • Participate in internal audits, reconciliations, and process improvements.

QUALIFICATIONS:

  • Experience: 2+ years in an administrative, inventory, or asset control role — preferably in warehousing, logistics, events, or rental operations.
  • Skills: Strong organizational and data accuracy skills; intermediate to advanced Excel or Google Sheets skills.
  • Tools: Familiarity with warehouse management systems (a plus); comfortable learning new tracking platforms.
  • Mindset: Detail-oriented, proactive in maintaining system integrity, and communicative with internal stakeholders.
  • Work Style: Comfortable being warehouse-based and coordinating with operational teams without doing heavy physical work.

THE VALUES YOU ALIGN WITH:

Just as important as the skills you bring to our team, is alignment with our values. This means that as a collective we will collaborate with the same mindset to deliver incredible, market leading experiences for our clients.

  • Steadfast Courage - We fearlessly take on challenges and make bold decisions to achieve remarkable results.
  • Unwavering Integrity - We hold ourselves to the highest ethical standards and prioritize honesty, transparency, and professionalism.

  • Insatiable Curiosity - We never stop learning, exploring, and taking risks to create breakthrough experiences.
  • Constant Collaboration - We thrive on teamwork, leverage diverse perspectives, and support each other to deliver experiences greater than the sum of their parts.

BENEFITS AND COMPENSATION:

The compensation package will be commensurate with experience. Our employees are entitled to a standard set of benefits, including health and dental insurance and 401(k) with company match.

  • Excellent Medical Insurance
  • Excellent Dental Insurance
  • Excellent Vision Insurance
  • Paid Time Off, Holiday Pay
  • 401K matching program after 90 days of employment
  • 100% Company Life and Long-Term Disability Coverage
