Remote Trial Master File information

What is a remote Trial Master File and what does the role involve?

A Remote Trial Master File (TMF) professional is responsible for managing and maintaining essential documents related to clinical trials in a digital or remote environment. This role ensures that all regulatory and compliance requirements are met by organizing, tracking, and archiving important trial documentation. Working remotely, TMF specialists collaborate with clinical research teams, auditors, and regulatory authorities to ensure data integrity and readiness for inspections. The job often involves using specialized electronic TMF (eTMF) systems to facilitate secure access and management of files from different locations.

What are the key skills and qualifications needed to thrive as a remote Trial Master File specialist?

To thrive as a Remote Trial Master File (TMF) Specialist, you need a solid understanding of clinical trial processes, regulatory requirements (such as ICH-GCP), and experience with TMF management, often supported by a degree in life sciences or a related field. Familiarity with electronic TMF (eTMF) systems, document management software, and compliance tracking tools is typically required. Attention to detail, organizational skills, and strong communication are vital soft skills to ensure accurate documentation and effective collaboration across remote teams. These skills and qualifications are crucial for maintaining regulatory compliance, ensuring data integrity, and supporting the smooth conduct of clinical trials.

What are the main challenges of managing a Trial Master File remotely, and how can they be addressed?

Managing a TMF remotely often presents challenges such as maintaining document version control, ensuring regulatory compliance, and facilitating timely collaboration across dispersed teams. To address these, many organizations utilize secure cloud-based eTMF systems that allow real-time access and updates, implement clear document management protocols, and schedule regular virtual check-ins with team members. Strong communication skills and familiarity with electronic documentation tools are essential for success in this remote environment.

Key responsibilities

  • Manage insurance defense cases from inception through resolution, including discovery, mediation, and trial preparation.

  • Draft, edit, file, and coordinate litigation documents such as pleadings, motions, subpoenas, discovery requests and responses, and notices.

  • Maintain case files, monitor court deadlines, and assist with trial preparation and case-related projects.

Job description

About the opportunity
Equivity is seeking an experienced Insurance Defense Paralegal to support attorneys handling a broad range of insurance-related litigation matters, including bodily injury claims, premises liability, construction defect, property damage disputes, transportation and trucking matters, professional liability claims, product liability cases, coverage disputes, bad faith litigation, and general liability defense.

This is an assignment-based opportunity designed for paralegals who value the flexibility of remote work and enjoy supporting a variety of law firms and matters across the country. As client needs evolve, assignments and workload may vary based on business demand. This role is a good fit for an experienced paralegal who values professional flexibility and is comfortable with a workload that can fluctuate rather than requiring a guaranteed number of weekly hours from the outset.

When actively supporting clients, responsiveness is important. Because client needs can arise on short notice, paralegals are expected to remain responsive to their active clients and Equivity managers within one hour during their stated availability.

If you're an experienced paralegal who appreciates autonomy, remote flexibility, and the opportunity to work with multiple legal teams, this assignment-based model may be a strong fit.

What You’ll Do:
  • Manage insurance defense cases from inception through resolution, including discovery, mediation, and trial preparation.
  • Maintain organized electronic case files and ensure all deadlines are met.
  • Draft, edit, and file pleadings, motions, subpoenas, discovery requests and responses, notices, and other litigation documents.
  • Coordinate e-filings and maintain accurate proof of service and filing records.
  • Review, organize, and summarize medical records, claim files, expert reports, deposition transcripts, business records, and other case-related documents.
  • Assist with preparation of written discovery, document production, privilege logs, and case management reports.
  • Coordinate depositions, inspections, independent medical examinations, mediations, expert consultations, and hearings.
  • Communicate professionally with clients, insurance carriers, adjusters, experts, opposing counsel, court personnel, and other parties.
  • Prepare exhibits, witness lists, trial binders, mediation materials, and other litigation support documents.
  • Maintain litigation calendars, monitor court deadlines, and ensure case files and correspondence are accurately maintained.
  • Assist attorneys with trial preparation and other case-related projects as needed.

About You:
  • 3+ years of insurance defense paralegal experience
  • Bachelor's Degree Required
  • Minimum availability of 20 hours/week to start
  • Experience supporting insurance defense, general liability, construction defect, premises liability, transportation, property damage, professional liability, coverage, or related litigation matters
  • Strong understanding of civil litigation procedures, discovery, case management, and trial preparation
  • Ability to work independently and manage multiple active litigation matters
  • Strong attention to detail and communication skills
  • Proficiency with Microsoft Office and Adobe
  • Experience with legal software such as Clio, Filevine, or similar platforms is a plus
  • Windows-based computer preferred
  • Availability and responsiveness within 1 hour during standard business hours (9:00 AM – 6:00 PM)

Compensation and Work Structure
  • W-2 employment
  • Compensation: $26 per hour
  • Assignment-based work with client assignments determined by demand, qualifications, and availability
  • Assignment volume and hours may vary
  • Client assignments may take time to develop and are not guaranteed immediately upon joining

Benefits
