Aeroflow Health – Leave Specialist

Location: Fully Remote

The Opportunity

Within Aeroflow, the Human Resources Operations team is responsible for managing many aspects of employee relations for over 1,000 employees in more than 30 states. Reporting to the HR Operations Manager, the Leave Specialist will be responsible for a variety of HR and administrative functions with an overall goal of supporting Aeroflow’s Mission and delivering world-class service to our coworkers and customers.

Your Primary Responsibilities

  • Make eligibility determinations and approval or denial decisions for employee leave and accommodation requests by evaluating the full scope of applicable federal, state, and local laws (including FMLA, ADA, PWFA, and state-specific programs).
  • Independently assess complex and overlapping leave scenarios to determine appropriate leave designation, duration, and compliance requirements.
  • Administer employee leave of absence programs, including but not limited to FMLA, ADA, PWFA, personal, parental, military, and state-specific leave laws.
  • Serve as the primary point of contact for employees and managers regarding leave policies, eligibility, and processes.
  • Process leave requests, track leave usage, and maintain accurate documentation in HRIS or leave management systems.
  • Partner with employees, managers, and HRBPs, and HR leadership to facilitate leave accommodations and return-to-work plans, in compliance with ADA and other regulations.
  • Ensure compliance with all applicable laws (FMLA, ADA, HIPAA, PWFA, state regulations) and internal policies.
  • Coordinate with payroll, benefits, and other internal teams to ensure proper benefit continuation and compensation during leave.
  • Analyze trends in leave utilization and internal processes to identify opportunities to better support employees and facilitate a more smooth and efficient process.
  • Manage and oversee communication with third-party leave administrators (if applicable), while retaining internal ownership of leave determinations, compliance decisions, and case resolution.
  • Prepare and distribute required notices and documentation within required timeframes.
  • Stay current on changes to leave-related laws and recommend process or policy updates as needed.
  • Prepare ongoing and ad-hoc reporting and analytics related to leave trends and utilization.
  • Support reporting and documentation questions as needed for internal use, reporting, and compliance audits.
  • Employee has an individual responsibility for knowledge of and compliance with laws, regulations, and policies.
  • Compliance is a condition of employment and is considered an element of job performance
  • Maintain HIPAA/patient confidentiality

Required Qualifications

  • Bachelors degree in Human Resources, Business Administration, a related field, or equivalent experience. Relevant certifications (e.g., SHRM-SCP, PHR) are preferred.
  • Minimum of 5 years of experience in human resources directly administering employee leave programs, including FMLA and ADA, with responsibility for eligibility determinations and case outcomes.
  • Strong knowledge of federal and state employment and leave laws (e.g., FMLA, ADA, CFRA, PFL, etc.).
  • Experience handling complex leave cases involving the overlap of multiple leave and employment laws (e.g. overlap of FMLA & ADA or PWFA)
  • Experience independently approving, denying, and managing leave cases without reliance on a third-party administrator to make determinations.
  • Experience with leave case management systems and HRIS platforms (e.g., UKG, etc.).
  • Exceptional organizational skills and attention to detail.
  • Experience managing a high volume of cases with a largely remote workforce across multiple states.
  • Strong interpersonal skills; ability to handle sensitive situations with discretion and empathy.
  • Ability to manage multiple cases simultaneously and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
