Job description

Position Summary

We are seeking a motivated, detail-oriented Legal Assistant who is eager to learn and grow within the legal profession. This is an excellent opportunity for someone looking to gain broad exposure to the law practice while working alongside an experienced in-house legal team in a fast-paced corporate environment.

This position is ideal for individuals interested in pursuing a long-term legal career, those considering law school, or professionals looking to transition into the legal field from related corporate roles such as human resources, compliance, project management, operations, or mortgage lending. The successful candidate will have a strong work ethic, professional and positive attitude, exceptional organizational skills, intellectual curiosity, and the ability to quickly adapt to new challenges.

Unlike positions focused on a single area of law, this role offers exposure to a wide variety of legal disciplines across multiple jurisdictions nationwide, including real estate, corporate governance, contract management, litigation, foreclosure, employment law, regulatory compliance, and general corporate legal operations. We are looking for someone who enjoys learning, asks thoughtful questions, takes initiative, and is motivated to develop new skills.

Essential Duties and Responsibilities

  • Provide administrative and operational support to the Legal Department.
  • Assist attorneys with drafting, formatting, proofreading, and organizing legal documents, correspondence, agreements, and memoranda.
  • Coordinate signatures, notarizations, recordings, and execution of legal documents.
  • Organize and maintain electronic and physical legal files, ensuring documents are accurate and easily accessible.
  • Assist with contract administration, including tracking agreements and organizing executed documents.
  • Support litigation management by maintaining calendars, tracking deadlines, organizing case files, and coordinating with outside counsel.
  • Assist with preparing discovery materials, document productions, and hearing or trial binders.
  • Conduct basic legal and factual research using public records, PACER, state court websites, agency resources, and other research tools.
  • Assist with reviewing public records, title documents, corporate filings, and mortgage-related documents.
  • Help prepare loan documents, modifications, corporate resolutions, and other transactional documents under attorney supervision.
  • Coordinate communications with internal departments, outside counsel, title companies, government agencies, vendors, and other third parties.
  • Track legal projects and assist with departmental initiatives, policy updates, compliance projects, and special assignments.
  • Maintain confidentiality while handling sensitive legal and business information.
  • Perform other duties and projects assigned to support the Legal Department.

Education and Experience

  • Bachelor's degree preferred but not required. Relevant work experience may be substituted.
  • Prior experience in an office, administrative, compliance, banking, mortgage, project management, human resources, or legal environment is preferred but not required.
  • Previous legal assistant, administrative assistant, executive assistant, or similar experience is a plus.
  • Interest in the legal profession or plans to attend law school are welcomed but not required.
  • Mortgage, banking, title, or real estate experience is helpful but not required.

Knowledge, Skills and Abilities

  • Strong written and verbal communication skills.
  • Excellent organizational skills with exceptional attention to detail.
  • Strong critical thinking and problem-solving abilities.
  • Ability to learn quickly and adapt in a fast-paced environment with shifting priorities.
  • Positive attitude, initiative, and willingness to take on new challenges.
  • Ability to manage multiple assignments and deadlines effectively.
  • Comfortable conducting online research and navigating web-based systems and/or public records.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams, and SharePoint).
  • Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
  • Desire to continuously learn, develop professionally, and expand legal knowledge across multiple practice areas.

Warp Speed Holdings is an Equal Opportunity Employer.
