Job Description:

The Document Coordinator is responsible for maintaining the company's Knowledge Base by conducting regular reviews and updates of policy and procedural documentation. This role works closely with the Process Analysis Team to transform operational knowledge into clear, structured, and accessible documentation that supports standardization and training across the organization.

The Document Coordinator ensures that all documentation is accurate, up to date, and aligned with organizational standards, while also leveraging AI tools to enhance documentation quality, consistency, and efficiency. This role demonstrates strong autonomy and quality ownership by independently producing high-quality knowledge assets, proactively refining content to deliver near-final SOP products that require minimal QA intervention.

In collaboration with UX team members, the Document Coordinator supports effective knowledge dissemination through SharePoint, ensuring that content is easy to find, understand, and apply

Compensation range: $1,050 - $1,200

Responsibilities include, but are not limited to:

Publish and manage documentation within SharePoint for usability and accessibility

Maintain document categorization, tagging, and version control

Research and implement tools that enhance documentation efficiency and engagement

Create, update, and maintain formal policy documents and standard operating procedures

Initiate and drive documentation conversations to ensure timely information gathering

Conduct scheduled reviews to ensure documentation accuracy, relevance, and completeness

Translate operational workflows into clear and structured documentation

Independently produce highquality knowledge assets requiring minimal QA revisions

Capture explicit and tacit knowledge from stakeholders and subject matter experts

Partner with the Process Analysis Team to document new or updated processes

Apply templates, standards, and formatting guidelines consistently

Support training and onboarding documentation needs

Gather feedback and continuously improve documentation quality and usability

Use AI tools to support drafting, editing, synthesis, and standardization with human validation

Requirements:

Strong writing and information organization skills

High attention to detail and ownership

Experience maintaining documentation in a shared system or repository
Proactive communication and followup
Ability to interpret and document complex processes
Version control and document governance
2+ years of experience creating and maintaining SOPs, policies, or procedural documentation
2+ years of experience working with knowledge management systems, preferably SharePoint or a similar repository
Bachelor's degree in Technical Writing, Communications, Knowledge Management, Business Administration, or a related field, or equivalent professional experience
