Job Description
We are seeking a highly organized, professional, and proactive Executive Assistant to support the VP of Finance and provide high-level administrative and operational support in a fast-paced environment remote from India or Philippines.
This role requires a strong background in accounting or finance administration combined with exceptional executive support capabilities. The ideal candidate will be comfortable managing executive communications, reviewing and responding to emails on behalf of leadership, coordinating meetings and calendars, handling financial and administrative tasks, and helping manage day-to-day priorities with professionalism and discretion.
KEY RESPONSIBILITIES
EXECUTIVE SUPPORT
  • Manage executive calendars, appointments, and meeting coordination across multiple time zones
  • Review, organize, prioritize, and respond to emails on behalf of executive leadership
  • Draft professional communications and follow-up correspondence
  • Coordinate virtual meetings, prepare meeting invitations, and manage scheduling logistics
  • Track action items, priorities, and deadlines to ensure timely follow-through
  • Assist with travel coordination, itineraries, and executive scheduling needs

ACCOUNTING & FINANCIAL ADMINISTRATION
  • Support invoice tracking, expense reporting, and financial documentation
  • Assist with bookkeeping and administrative accounting functions
  • Maintain organized financial records, spreadsheets, and reporting files
  • Coordinate with vendors, consultants, and external partners regarding financial or administrative matters
  • Support budgeting and financial reporting activities as needed

COMMUNICATION & COORDINATION
  • Act as a liaison between executive leadership and internal/external stakeholders
  • Delegate directives and communicate priorities on behalf of leadership
  • Follow up with team members and vendors regarding outstanding items or requests
  • Maintain strict confidentiality and professionalism in all communications

OPERATIONAL & ADMINISTRATIVE SUPPORT
  • Maintain organized digital filing systems and documentation
  • Support process improvements and administrative workflow efficiency
  • Assist with special projects, reporting, and executive initiatives
  • Anticipate needs and proactively resolve administrative challenges

Job Requirements
QUALIFICATIONS
  • Bachelor's degree preferred in Accounting, Finance, Business Administration, or related field
  • Minimum 3+ years of experience supporting executives, business owners, or senior leadership
  • Strong accounting, bookkeeping, or finance administration background preferred
  • Excellent written and verbal English communication skills
  • Strong organizational, multitasking, and time management abilities
  • High attention to detail and ability to work independently
  • Professional, polished, and highly responsive
  • Ability to handle confidential and sensitive information with discretion

TECHNICAL SKILLS
