This fully remote Administrative Assistant role supports senior IT executives by managing calendars, coordinating meetings, arranging travel, processing expenses, and handling day-to-day administrative operations within a financial services environment. The ideal candidate has 3-5 years of administrative experience, strong Microsoft Office and communication skills, and preferably experience supporting technology leaders in a fast-paced, team-oriented setting. Client Details Supported senior technology executives at a global financial services organization, providing high-level administrative support, calendar management, meeting coordination, travel arrangements, expense reporting, and cross-functional communication in a fast-paced corporate environment.

Description Provided executive-level administrative support to senior technology leaders within a global financial services organization. Managed complex calendars, scheduled meetings, and coordinated executive appointments across multiple time zones. Organized and prepared meeting materials, agendas, presentations, and logistics for leadership meetings.

Coordinated domestic and international travel arrangements, including itineraries, accommodations, and transportation. Processed and tracked expense reports in accordance with company policies and deadlines. Facilitated communication between executives, business partners, and cross-functional teams.

Managed conference room bookings, meeting logistics, and virtual collaboration tools for remote and hybrid meetings. Maintained executive contacts, distribution lists, and organizational records using Microsoft Outlook and other business systems. Coordinated visitor access, security badge requests, and site access permissions as needed.

Assisted with SharePoint access requests and shared-site permission management. Supported document preparation, presentation formatting, printing, binding, and distribution of business materials. Handled incoming calls, screened inquiries, and routed communications appropriately.
