What is a remote employee assistance program (EAP)?

A Remote Employee Assistance Program (EAP) is a confidential service offered by employers to support the mental health and well-being of their remote employees. These programs typically provide access to counseling, mental health resources, and support for personal or work-related issues via phone, video calls, or online platforms. EAPs can help remote employees manage stress, work-life balance, relationship issues, and other challenges, ensuring they remain productive and engaged while working from home. Access to these services is usually free for employees and completely confidential.

What are some common challenges faced by remote employee assistance program (EAP) professionals, and how can they be addressed?

Remote EAP professionals often encounter challenges such as maintaining strong client engagement in a virtual setting and ensuring confidentiality over digital platforms. Building rapport without face-to-face interaction can require additional effort, such as using video calls and active listening techniques. It's also important to stay updated on secure communication tools and adhere to privacy regulations. Regular virtual team meetings and peer support can help remote EAP specialists feel connected and supported while delivering high-quality care to clients.

Familiarity with telehealth platforms, case management systems, and confidentiality regulations such as HIPAA is typically required. Job description

We believe that mental health is just as important as physical health. We recognize that mental health issues can be complex and multifaceted, and we are dedicated to treating the whole person, not just the symptoms.
We aim to create a world where mental health is no longer stigmatized or marginalized, but rather is embraced as an integral part of one's overall well-being.
We believe that by providing quality care that is both evidence-based and compassionate, we can empower individuals to take charge of their mental health and achieve their full potential. We are passionate about making a positive impact on the lives of those struggling with mental health issues and we strive to be a force for positive change in the field of mental healthcare.
Rula is a remote-first company. We currently hire in most U.S. states, with the exception of Hawaii.
About the Role
Rula is seeking a Sr. EAP Operations Associate to join our Financial Operations team. Reporting to the Payment Application and Credit Manager, this role partners with internal teams and external EAP partners to support accurate billing, payment processing, and reconciliation. You will independently manage partner billing cycles, prepare and submit billing files, review remittances and payment feedback, investigate discrepancies, and collaborate across teams to resolve billing and payment issues.
You will also identify opportunities to improve workflows, support automation and process initiatives, and help scale billing processes as new EAP partners are onboarded. This role is ideal for someone who is analytical, detail-oriented, enjoys working with data, and thrives in a fast-paced environment where they can drive operational improvements and make a meaningful impact.
Required Qualifications
  • 3+ years of experience in billing, collections, or a related role contributing to end-to-end transformation (process, technology, and people) in a high-growth operational environment
  • Proven ability to independently improve and optimize processes, leveraging tools such as Salesforce, AMD, payer portals (e.g., Availity), and Google Suite/Microsoft Office (including Excel/Google Sheets) to drive optimization
  • Experience applying structure, prioritization, and effective communication to solve problems, not just for the current state but also to predict future needs
  • Experience creating concise, actionable documentation (training materials or process docs) for both technical and non-technical audiences

Preferred Qualifications
While having the preferred qualifications enhances your candidacy, having all of them is not mandatory. We encourage all interested applicants to apply, even those who may not meet every preferred requirement.
  • Experience in healthcare or a startup environment
  • Familiarity with diverse insurance billing types (commercial, EAP, Medicare/Medicaid, etc.)
  • Tech savviness, natural technical aptitude, and fluency with Google Suite, Salesforce, ZenDesk, AdvancedMD/EHR, or similar platforms
  • Demonstrated expertise in revenue cycle management, with a focus on healthcare billing, payment posting, and/or credit management, including knowledge of credit management for insurance and governmental payers (Medicare or Medicaid)

We're serious about your well-being! As part of our team, full-time employees receive:
  • 100% remote work environment: Working hours to support a healthy work-life balance, ensuring you can meet both professional and personal commitments (must be based in United States, currently not hiring in Hawaii)
  • Attractive pay and benefits: Full transparency of pay ranges regardless of where you live in the United States
  • Comprehensive health benefits: Medical, dental, vision, life, disability, and FSA/HSA
  • 401(k) plan access: Start saving for your future
  • Generous time-off policies: Including 2 company-wide shutdown weeks each year for self-care (for most employees)
  • Paid parental leave: Available for all parents, including birthing, non-birthing, adopting, and fostering
  • Employee Assistance Program (EAP): Supporting your mental and physical health
  • Quarterly department stipend: Fun team-building activities or in-person gatherings
  • Community and employee resource groups: Participate in groups that celebrate employee identity and lived experiences, fostering a sense of community and belonging for all
  • Home office stipend: New hire home office stipend & $50 monthly stipend to help cover internet or cell phone expenses
  • Wellness at Rula program: Year-round wellness initiatives and a $50/month wellness stipend

Our team
We believe that diversity, equity, and inclusion are fundamental to our mission of making mental healthcare work for everyone. We are dedicated to having a culture of inclusion that will support our employees in feeling safe, seen, heard, and valued.
