Job description

Position Overview: We are seeking a detail-oriented Proposal Coordinator with expertise in Adobe InDesign to join our remote team. This role is pivotal in developing compelling proposals that effectively communicate our experience to clients and stakeholders.
Key Responsibilities:
  • Proposal Development: Collaborate with subject matter experts to create, edit, and format proposals, ensuring compliance with client requirements and internal standards.
  • Team Leadership amp; Oversight: Lead cross-functional proposal teams of writers, subject matter experts (SMEs), graphic designers, and coordinators across multiple emergency management disciplines and supervise proposal development staff responsible for federal, state, and local government opportunities (e.g., FEMA, HUD, HHS, USACE).
  • Workload Management amp; Delegation: Develop and maintain proposal schedules and resource plans to allocate work based on staff capacity and proposal priorities.
  • Design and Layout: Utilize Adobe InDesign to design visually appealing proposal documents that enhance readability and engagement.
  • Content Management: Maintain and update proposal content libraries, templates, and graphics to ensure consistency and accuracy.
  • Coordination: Manage timelines and deliverables, coordinating inputs from various departments to meet submission deadlines.
  • Quality Assurance: Review proposals for clarity, coherence, and compliance with RFP/RFQ requirements.
  • Research: Conduct research on industry trends, client needs, and competitor offerings to inform proposal strategies.
Qualifications:
  • Education: Bachelor’s degree in English, Communications, Marketing, Emergency Management, or a related field.
  • Experience: Minimum of 3 years of experience in proposal coordination, preferably within the emergency management or disaster recovery sectors.
  • Technical Skills: Proficiency in Adobe InDesign is required; familiarity with other Adobe Creative Suite applications is a plus. Knowledge and/or understanding of how to utilize AI to research, write, and edit content
  • Communication: Exceptional written and verbal communication skills, with a keen eye for detail.
