We are seeking a highly organized, detail-oriented Financial Advisor Assistant to support a growing financial advisory practice. This role is critical to delivering a high-quality client experience while helping advisors operate efficiently. The ideal candidate is proactive, dependable, and comfortable managing both administrative and client-facing responsibilities in a fast-paced environment.
Client Service Relationship Support- Serve as a primary point of contact for client service requests (account updates, beneficiary changes, transfers, etc.)
- Prepare and process new account paperwork and ensure accuracy/compliance
- Coordinate client meetings, including scheduling, confirmations, and follow-up
- Assist in onboarding new clients and maintaining client records
- Handle client inquiries with professionalism and responsiveness
Advisor Operational Support- Prepare materials for client meetings (reports, presentations, financial plans)
- Maintain CRM system with accurate and up-to-date client information
- Track and manage workflow for ongoing client tasks and deadlines
- Assist with compliance-related documentation and recordkeeping
- Support marketing efforts such as client communications, event coordination, and outreach
Administrative Duties- Manage calendars, emails, and general office coordination
- Organize digital files
- Liaise with custodians, insurance companies, and other partners
- Ensure smooth day-to-day office operations

Qualifications• 2+ years of administrative or client service experience (financial services preferred)
• Strong organizational skills and attention to detail
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office (Word, Excel, Outlook)
• Ability to manage multiple priorities and meet deadlines
Preferred:• Experience with CRM systems (e.g., Redtail, Salesforce, Wealthbox)
• Familiarity with financial products (investments, insurance, retirement plans)
• Securities licenses (Series 6, 7, or 65/66) or willingness to obtain
• Experience with financial planning software
