Job Description:
General Summary & Scope
• The Creative Operations Specialist, Media Creative plays a critical role in supporting the day-to-day operational excellence of the Media Creative team. This role partners closely with the Creative Operations Manager to ensure creative projects are efficiently briefed, planned, tracked, and delivered on time across paid and retail media channels.
• This individual is highly organized, detail-oriented, and collaborative-serving as a key connector between Creative, Sales, Account Management, Production, and external partners. The Specialist helps translate business needs into clear, actionable workflows, supports intake and briefing processes, manages timelines and tracking, and ensures consistent communication throughout the creative lifecycle.
• By maintaining strong operational rigor and proactive communication, the Creative Operations Specialist helps enable the creative team to focus on producing best-in-class, brand-forward creative that drives performance and delivers value for brand partners.
Hands-on Creative Operations experience
• Direct experience managing intake, briefing, timelines, approvals, and delivery of creative work (not just marketing or design).
Execution-focused (not strategy-first)
• Strong at running workflows and keeping projects moving, rather than leading strategy or owning client relationships.
Works well within a team structure
• Comfortable reporting to a Creative Ops Manager and executing within defined processes - no need for senior/lead ownership.
Experience in fast-paced, high-volume environments
• Able to handle multiple concurrent campaigns, shifting priorities, and tight deadlines without losing organization or quality.
Strong cross-functional coordination skills
• Experience working with creative teams, marketing, brand partners, and/or agencies, ensuring clear communication and alignment.
Familiarity with creative workflows and asset lifecycle
• Understands brief quality, creative reviews, feedback loops, specs, and final asset delivery/trafficking.
Tool proficiency in project management systems
• Experience with tools like Monday.com, Workfront, or similar, and disciplined about keeping systems up to date.
Detail-oriented and process-driven
• Strong attention to detail with ability to catch issues early, track dependencies, and maintain clean documentation.
Creative environment exposure (but not a designer role)
• Has worked closely with designers/copywriters and understands creative work - but is not primarily a creative producer/designer.
Job Requirements
• Bachelor's degree in Marketing, Design, Project Management, Business, or a related field, or equivalent experience.
• 2-6 years of experience in creative operations or creative project management, ideally from an agency environment, trafficking, or creative services, the role is highly execution-focused and involves managing high volumes of similar creative workflows in Monday.com
• Experience working with creative, design, or marketing teams; agency or retail media experience is a plus.
• Familiarity with digital creative development across channels such as social, video, onsite, and offsite media preferred.
• Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
• Clear, effective written and verbal communication skills with a collaborative mindset.
• Proficiency in project management and collaboration tools (e.g., Workfront, Monday.com, Figma, Microsoft Office, PowerPoint).
• Detail-oriented, proactive problem solver who remains calm and organized in a fast-paced environment, with a passion for creative excellence, operational rigor, and supporting high-performing creative teams
• Looking for an agency-trained creative coordinator who is comfortable running high-volume campaign workflows all day and communicating with clients without needing to own the strategy
Principal Duties & Responsibilities (*Essential Functions)
Creative Operations & Project Execution
• Support end-to-end creative operations across Media Creative projects, including intake, briefing, timelines, resourcing support, and delivery tracking.
• Assist with the creative intake and briefing process by gathering required information, reviewing submissions for completeness, and flagging gaps or risks to the Creative Operations Manager.
• Build, maintain, and update detailed project timelines, status documents, and tracking reports to ensure milestones are clearly defined and met.
• Orchestrate day-to-day project activities, ensuring tasks move efficiently through each stage of the creative workflow.
Workflow, Communication & Coordination
• Coordinate communication between internal Creative teams, cross-functional partners, and agency or freelance resources to support a smooth, frictionless process.
• Organize, schedule, and support internal status meetings, standups, and reviews; capture notes, action items, and follow-ups.
• Communicate creative best practices, requirements, and guidelines to partners as directed, helping reinforce consistency and quality across deliverables.
• Escalate potential risks, timeline challenges, or resourcing conflicts early to the Creative Operations Manager.
Tools, Systems & Reporting
• Maintain accurate project tracking within creative operations tools (e.g., Workfront, Monday.com, Microsoft Office).
• Support the ongoing improvement of workflows, templates, and SOPs in partnership with Creative Operations leadership.
• Assist with organizing and maintaining creative documentation, process resources, and pitch or partner-facing materials.
Collaboration & Team Support
• Partner closely with Creative, Production, and Design teams to ensure projects are scoped and supported appropriately.
• Work with Strategy, Sales and Account Management teams to support brand partnerships through coordination of materials, timelines, and expectations.
• Contribute to a positive, collaborative, and solution-oriented team environment.
