How You'll Make an Impact
As a Contract Analyst, you will play a critical role in ensuring the accuracy and successful execution of client agreements and sales orders. You will own the contract fulfillment process from contract award through agreement setup, billing readiness, and operational handoff. Your attention to detail and ability to interpret contractual requirements will directly impact revenue accuracy, client satisfaction, operational efficiency, and successful service delivery. You will collaborate with Sales, Finance, Procurement, Service Delivery, and Project teams to ensure all contractual obligations are accurately translated into our systems and processes.
Location and Work Expectations
  • This is a remote position; however, team members should be willing and able to travel if the need arises, though such travel is expected to be infrequent. Candidates with proximity to one of our Centers of Excellence are preferred (Lombard, IL; McLean, VA; Shreveport, LA; Overland Park, KS).

What You Will Be Doing:
  • Monitor and manage the sales order pipeline to ensure timely processing.
  • Review signed agreements, quotes, and supporting documentation for completeness and accuracy.
  • Convert product and labor items from sales orders to the appropriate operational teams for execution.
  • Create and maintain recurring client agreements within ConnectWise and related systems.
  • Configure agreement billing, contract start dates, renewal dates, and cancellation dates.
  • Process agreement additions, removals, and modifications while ensuring compliance with contract terms.
  • Validate service changes against vendor portals, client records, and internal documentation before processing.
  • Maintain accurate customer records and system configurations.
  • Partner with Finance to ensure billing accuracy and prevent revenue leakage.
  • Collaborate with cross-functional teams to resolve contract discrepancies and operational issues.
  • Identify process improvement opportunities and assist with automation initiatives.
  • Create and maintain documentation, procedures, and training materials.
  • Support special projects and other duties as assigned.

You'll Be Successful in This Role If You Have:
  • 2+ years of experience in contract administration, contract analysis, billing operations, finance operations, or a related field.
  • Experience working with CRM systems.
  • Strong Microsoft Excel and Office 365 skills.
  • Ability to analyze data, identify discrepancies, and recommend solutions.
  • Experience documenting processes and maintaining procedural documentation.
  • Exceptional attention to detail and a commitment to accuracy.
  • Strong analytical and problem-solving skills.

The base pay range for this position is expected to be between $65,000 and $75,000 per year. The base pay offered may vary depending on multiple non-discriminatory factors including, but not limited to, market location, job-related knowledge, skills, and experience. The total compensation package for this position also includes medical benefits, 401(k) eligibility, and PTO. Additional details of participation in these benefit plans will be provided if an employee receives an offer of employment.

This position requires U.S. citizenship due to federal government contract obligations and access to secured information systems.
Workspace Requirements and Remote Work Policy
Team members must establish a dedicated safe workspace that is free from distractions, hazards, and that is secure from unauthorized access. This includes following Ntiva's IT User and Security Policies that include but are not limited to password-protecting all equipment, keeping confidential and proprietary documents secure, refraining from using public Wi-Fi, having adequate arrangements in place to avoid significant interruptions from caregiving responsibilities during work hours (except in emergency situations with manager approval). Any remote work away from a team member's normal expected dedicated safe workspace must be requested by team member, is subject to review by management, and must adhere to Ntiva policies and procedures.
