TruBlue Home Service Ally is a growing home services company providing trusted handyman repairs, home maintenance, remodeling, and safety upgrades throughout Hanover County, Glen Allen, Ladysmith, and the surrounding communities.
We have a particular passion for helping seniors live safely and independently in their homes, while also providing busy families and homeowners with a dependable partner to help maintain, repair, and improve their homes.
We're looking for an organized, personable, and highly dependable Office Manager / Administrator to become a key part of our growing team.
This isn't simply an administrative position. You'll be at the center of our day-to-day operation - helping customers, coordinating technicians, managing schedules, supporting projects, and helping us deliver the exceptional experience our customers expect from TruBlue.
What You'll Do
As our Office Manager / Administrator, you'll help keep our customers, technicians, projects, and office operations organized and moving forward.
Your responsibilities will include:
  • Serve as a primary point of contact for customers by phone, text, and email
  • Respond professionally and promptly to new customer inquiries
  • Schedule estimates and appointments with prospective customers
  • Schedule approved projects based on technician availability, skills, location, and project requirements
  • Coordinate daily schedules and communicate changes with customers and technicians
  • Maintain clear communication between customers, field technicians, estimators, and management
  • Track employee hours by project
  • Track materials and purchases associated with individual jobs
  • Assist with preparing and sending customer invoices upon project completion
  • Assist estimators with locating materials and obtaining pricing
  • Maintain customer and project information within our CRM and other business systems
  • Maintain inventory of company literature, forms, marketing materials, and office supplies
  • Assist with social media and digital marketing efforts
  • Help manage email communication with customers and prospective customers
  • Assist management with administrative and operational projects as needed

As the company grows, this position will have the opportunity to take on increasing responsibility for the day-to-day coordination of the business.
Who We're Looking For
We're looking for someone who is naturally organized, communicates well, enjoys helping people, and can keep things moving when the day doesn't go exactly according to plan.
The ideal candidate will have:
  • Previous experience in office administration, office management, scheduling, customer service, or business operations
  • Excellent written and verbal communication skills
  • Strong computer skills, including Microsoft Excel and Word
  • Experience working with CRM, scheduling, or customer management software
  • Strong organizational and time-management skills
  • Excellent attention to detail
  • Strong customer service instincts and a professional phone presence
  • The ability to manage multiple priorities simultaneously
  • The ability to create efficient schedules for multiple field technicians
  • The ability to quickly adjust schedules when cancellations, call-outs, delays, or other unexpected situations occur
  • Good judgment and problem-solving skills
  • Basic understanding of business concepts such as profitability, labor efficiency, job costs, and customer satisfaction
  • Comfort communicating with customers of different ages and backgrounds
  • The ability to work effectively with a diverse team of personalities and skill sets
  • Familiarity with social media platforms such as Facebook and Nextdoor
  • A strong work ethic and pride in doing things the right way

Experience in home services, construction, remodeling, property management, HVAC, plumbing, electrical, landscaping, or another field-service business is a plus, but not required.
