Job description

We are seeking an organized, proactive Construction Office Manager to oversee our day-to-day office operations and support our field teams from the business side. In this role, you will bridge the gap between our office workflows and field projects. The ideal candidate has direct experience in the construction industry, possesses a strong command of modern construction software (specifically JobTread), and excels at building structured office processes and Standard Operating Procedures (SOPs) from the ground up.

Key Responsibilities:

  • Software Adoption & System Management: Take ownership of our JobTread platform; manage data entry, project tracking, and guide the team in maximizing its features.

  • Process Improvement: Develop, write, and implement Standard Operating Procedures (SOPs) to streamline office workflows, document control, and field communication.

  • Payroll & Time Tracking (ADP RUN): Collect, review, and process weekly field timecards; manage employee hours and handle end-to-end payroll processing utilizing our ADP RUN platform.

  • Document Control & Administrative Support: Manage contracts, change orders, and lien waivers utilizing DocuSign and Microsoft Office (Word and Excel).

  • Plan & Blueprint Literacy: Review and interpret basic construction drawings and project plans to assist project managers with documentation and vendor tracking.

  • Client & Vendor Communication: Act as the first point of contact for the company. Professionally handle incoming phone calls, manage the company email inbox, and maintain prompt communication with clients, subs, and vendors.

Qualifications & Skills:

  • Experience: 2+ years of administrative or office management experience specifically within the construction industry (required).

  • Payroll Experience: Direct experience processing payroll and managing time tracking through ADP RUN is highly preferred.

  • Software Proficiency: Proven experience with JobTread (or similar construction management software like Procore/Buildertrend) is highly preferred.

  • Tech-Savvy: Highly proficient in Microsoft Excel (data tracking/sorting), Word, and DocuSign.

  • Skills: Ability to read/understand construction plans and blueprints. Experienced in writing and executing Standard Operating Procedures (SOPs).

  • Communication: Exceptional verbal (phone) and written (email) communication skills. Must be highly organized with strict attention to detail.
