Job Duties:
The University of Wisconsin-Oshkosh invites applications for a full-time Marketing Project Manager within the Division of Marketing & Communications. In this role, you will oversee the planning, coordination, prioritization, and execution of marketing and communications projects that support the university's strategic goals, brand initiatives, and institutional storytelling efforts.
Working in a collaborative, fast-paced environment, you will serve as a central operational partner across the division-helping ensure projects move efficiently from concept through completion while improving communication, workflow visibility, and cross-functional alignment.
Key Job Responsibilities:
Project & Workflow Management
  • Manage the intake, prioritization, scheduling, and execution of marketing and communications projects across multiple teams and stakeholders.
  • Coordinate timelines, deliverables, approvals, and resource allocation to ensure projects are completed on time and aligned with strategic priorities.
  • Serve as the primary administrator and champion for project management platforms and workflow systems (e.g., Asana), helping standardize processes and improve operational efficiency.
  • Develop and maintain project plans, production schedules, campaign calendars, status updates, and reporting systems.
  • Monitor project progress and proactively identify risks, bottlenecks, competing priorities, or communication gaps.

Event & Campaign Coordination
  • Support coordination and execution of university-wide marketing campaigns, institutional initiatives, special events, and high-profile communications projects.
  • Assist in managing timelines and logistics surrounding campus events, launches, and strategic communications efforts.

Collaboration & Communication
  • Partner closely with creative, digital, content, social media, web, video, photography, and leadership teams to coordinate integrated marketing initiatives.
  • Facilitate project kickoff meetings, status updates, and stakeholder communications to ensure clarity, accountability, and alignment.
  • Consult with campus departments and university partners to understand project objectives, communication goals, and deliverable expectations.
  • Support leadership in managing departmental priorities, workload balancing, and operational planning.

Process Improvement & Operations
  • Identify opportunities to streamline workflows, reduce duplication, and improve collaboration across teams and departments.
  • Help establish scalable project management standards, documentation practices, intake procedures, and operational processes.
  • Maintain organized project records, documentation, and asset tracking systems.
  • Assist with campaign reporting, operational analytics, and performance tracking as needed.

Required Qualifications:
  • Demonstrated experience managing complex projects, timelines, workflows, and cross-functional collaboration within a fast-paced, deadline-driven environment.
  • Strong working knowledge of project management systems and workflow platforms, with the ability to effectively manage projects, communication, task assignments, reporting, and operational coordination within Asana being critical to success in this role. Experience with platforms such as Monday.com, Trello, Basecamp, or similar systems is also valued.
  • Exceptional organizational and time management skills with strong attention to detail and the ability to manage multiple concurrent priorities effectively.
  • Excellent written, verbal, and interpersonal communication skills, including the ability to build positive working relationships across diverse teams and stakeholders.
  • Ability to work collaboratively with campus partners, leadership teams, creative staff, and external constituents while maintaining professionalism and responsiveness.
  • Strong critical thinking and problem-solving abilities, with the capacity to adapt quickly to shifting priorities, deadlines, and organizational needs.

Preferred Qualifications:
  • Experience working within higher education, nonprofit, agency, or creative services environments.
  • Familiarity with integrated marketing and communications workflows, campaign planning, creative production processes, and operational coordination.
  • Knowledge of Agile, Scrum, or other project management methodologies and process improvement frameworks.
  • Experience supporting cross-functional creative, digital, content, or communications teams.
  • Demonstrated ability to identify workflow inefficiencies, improve operational processes, and implement scalable project management solutions.

Education:
  • Bachelor's degree in marketing, communications, business administration, project management, public relations, or a related field-or an equivalent combination of education and relevant professional experience.
