Job description

Medical Administrative & Billing Coordinator

Cobalt Therapy, LLC | Part-Time | Remote – Central Florida

Pay: $18–$24/hour, based on experience
Hours: Approximately 20 hours/week
Preferred Schedule: Approximately 4 hours/day, Monday–Friday
Benefits: SIMPLE IRA retirement plan with employer match

About the Position

Cobalt Therapy is a small, specialized adult speech therapy private practice serving patients throughout Central Florida. We are seeking a dependable, organized, and personable Medical Administrative & Billing Coordinator to support our patients and clinical team.

This remote position combines patient communication, scheduling, insurance verification, medical billing, and general administrative support. You will often be the first person our patients speak with, so a warm and professional phone presence is very important.

We are happy to train the right person. Previous medical office, insurance, or billing experience is helpful but not required for someone who is organized, reliable, comfortable with technology, detail-oriented, and eager to learn.

Responsibilities

  • Answer incoming calls and return patient messages during scheduled work hours
  • Contact new patients to obtain demographic, insurance, and referral information
  • Verify insurance eligibility and benefits
  • Explain insurance benefits and estimated patient responsibility
  • Schedule patients and manage cancellations or rescheduling
  • Communicate with patients, physician offices, referral sources, and insurance companies
  • Submit insurance claims and review claims for basic accuracy
  • Learn and accurately work with CPT codes and medical billing terminology commonly used by the practice
  • Monitor claim status and follow up on unpaid or denied claims
  • Post insurance payments and remittance information
  • Monitor insurance authorizations and payer requirements
  • Process patient credit-card payments and outstanding balances
  • Track plans of care, physician signatures, and outstanding documentation
  • Prepare facility and contractor invoices
  • Maintain administrative and billing spreadsheets
  • Prepare payroll-related reports for clinician review
  • Assist with routine administrative projects and follow-up

Schedule

This position is approximately 20 hours per week, with a preferred schedule of approximately 4 hours per day, Monday through Friday during normal business hours.

Because the position includes answering incoming calls and communicating with patients and referral sources, availability and responsiveness during scheduled daytime hours are required.

Some scheduling flexibility may be available for candidates with relevant medical office, insurance verification, or medical billing experience.

Who We're Looking For

The ideal candidate is:

  • Warm, friendly, and professional on the phone
  • Dependable and responsive during scheduled work hours
  • Highly organized and detail-oriented
  • Comfortable working independently from home
  • Able to manage multiple tasks and follow through without frequent reminders
  • Comfortable learning new software, billing systems, and insurance processes
  • Proficient with email, basic spreadsheets, and general computer applications
  • Comfortable discussing insurance benefits and patient balances
  • Able to communicate professionally with patients and healthcare professionals
  • Careful when handling confidential patient and financial information
  • Willing to ask questions when unsure rather than guess

Prior experience with medical offices, patient scheduling, insurance verification, CPT codes, Medicare/commercial insurance, medical billing, claims, payment posting, or electronic medical records is a plus, but not required.

Remote Location Requirement

This position is primarily remote; however, applicants must reside in the Central Florida area and be available for occasional in-person training, team meetings, or equipment/document exchange.

Compensation & Benefits

$18–$24 per hour, based on relevant experience.

We welcome candidates who are new to medical administration but have strong organizational, communication, customer-service, and computer skills. Training will be provided to the right candidate.

Candidates with prior medical office, insurance verification, medical billing, claims, or revenue-cycle experience may qualify for compensation toward the higher end of the range.

Benefits include participation in Cobalt Therapy's SIMPLE IRA retirement plan with employer matching, subject to plan eligibility requirements.

Approximately 20 hours per week.

To Apply

Please submit your resume along with a brief response telling us why this part-time position interests you and what strengths or experience you would bring to the role.
