We are seeking a highly organized and proactive Remote Administrative Assistant to support daily business operations for our US-based team. The ideal candidate is detail-oriented, communicates professionally, and thrives in a fast-paced remote environment. This role requires exceptional organizational skills, the ability to manage multiple priorities, and proficiency with modern office and collaboration tools.

Key Responsibilities
  • Manage calendars, schedule meetings, and coordinate appointments across multiple time zones.

  • Organize virtual meetings, prepare agendas, and record meeting notes and action items.

  • Monitor and manage email inboxes, prioritize correspondence, and draft professional communications.

  • Prepare reports, presentations, spreadsheets, and business documents with accuracy.

  • Maintain digital records, files, and confidential company information.

  • Coordinate travel arrangements, including flights, hotels, transportation, and expense reporting.

  • Assist with project coordination by tracking deadlines, deliverables, and follow-up tasks.

  • Support onboarding activities, document collection, and administrative processes for new team members.

  • Handle data entry, database maintenance, and CRM updates.

  • Communicate professionally with clients, vendors, and internal stakeholders.

  • Process invoices, purchase requests, and other administrative documentation.

  • Identify process improvements to increase administrative efficiency and support business operations.

Required Qualifications
  • 2+ years of experience as an Administrative Assistant, Executive Assistant, Office Administrator, or similar role.
