Job Description: Corporate Candidate Care Specialist

Location: This position may be based at any Cleaver-Brooks corporate or field location, with the option for a fully remote arrangement for the right candidate who can demonstrate exceptional communication, collaboration, and performance in a virtual environment. Fully remote employees are expected to maintain core business hours and ensure reliable connectivity for virtual collaboration. Occasional travel (up to 10%) may be required to visit Cleaver-Brooks sites, attend training sessions, or support recruiting and internal development events as needed.
Reports To: Corporate Talent Team Lead

Position Summary

The Corporate Candidate Care Specialist plays a critical role in supporting Talent Acquisition operations and delivering a high-quality candidate experience across the recruiting lifecycle. This position is responsible for coordinating complex interview logistics, supporting offer and relocation processes, managing candidate travel arrangements, contributing to talent pipeline initiatives, and supporting recruiting operations and process optimization efforts.

This role operates with a high degree of autonomy and exercises independent judgment in managing competing priorities, resolving scheduling and operational challenges, coordinating across multiple stakeholders, and identifying opportunities to improve recruiting workflows, efficiency, and the overall candidate experience. The position also supports broader Talent Acquisition initiatives and may expand to assist with additional onboarding and candidate experience responsibilities as the function continues to evolve and scale.

Key Responsibilities

Talent Acquisition Operations & Sourcing Support

  • Contribute to sourcing strategy by identifying target candidate profiles, recommending sourcing approaches, and supporting Talent Acquisition sourcing efforts through HireEz and other sourcing tools to help build and maintain talent pipelines aligned with hiring priorities.
  • Serve as back-up support to recruiters by managing a small requisition load on an as-needed basis when recruiter bandwidth is limited.
  • Support recruiting efforts on hard-to-fill positions and during periods of high team bandwidth, and provide coverage for recruiter responsibilities during absences.
  • Provide back-up support to the Talent Acquisition team by building requisitions in the ATS, ensuring alignment with Delegation of Authority (DOA) requirements and readiness for approval.
  • Identify process gaps in recruiting coordination and recommend improvements to enhance efficiency, candidate experience, and time-to-fill.
  • Monitor recruiting activity (e.g., scheduling timelines, offer turnaround, candidate flow) and proactively escalate risks or delays to ensure timely hiring outcomes.

Interview Coordination & Candidate Experience Management

  • Coordinate and manage complex interview scheduling activities across recruiters, hiring managers, executives, and interview panel participants, ensuring timely alignment of schedules and an efficient candidate experience across phone, video, and onsite interviews.
  • Serve as a primary point of contact for candidates throughout the interview process, ensuring timely communication of interview schedules, logistics, expectations, and relevant preparation materials.
  • Manage scheduling changes and resolve interview coordination conflicts by balancing candidate availability, interviewer schedules, business priorities, and recruiting timelines.
  • Drive interview scheduling activities in alignment with established SLAs and recruiting priorities, proactively identifying and addressing potential delays or scheduling bottlenecks.
  • May support elements of the candidate onboarding experience as needed, helping ensure a smooth transition from offer acceptance through start date.

Offer Process Back-Up & Candidate Relocation Coordination

  • Serve as a back-up resource to the Recruiters and Corporate Talent Team Lead during the offer process, assisting with offer letter preparation and delivery through the ATS as needed.
  • Provide flexible operational support across the recruiting function during periods of high hiring volume, recruiter absences, or evolving business needs to help ensure continuity and efficiency within the offer process.
  • Track and follow-up on offer letter acceptance, keeping recruiters and hiring managers informed throughout the process.
  • Support timely execution of offer-related activities in alignment with established SLAs and recruiting process expectations.
  • Maintain a high level of confidentiality when handling candidate and offer information.
  • Enter and manage relocation requests in the third-party relocation partner platform (TRC Global), ensuring accuracy and timely processing.
  • Ensure candidates receiving relocation assistance sign and return the required relocation repayment agreement prior to relocation benefits being initiated.

Candidate Travel Coordination

  • Arrange candidate travel for onsite interviews, including flights, accommodations, and ground transportation, and facilitate candidate setup in the company reimbursement platform for expense processing.
  • Ensure travel bookings are cost-effective, policy-compliant, and communicated clearly to candidates.
  • Manage travel reimbursement requests and ensure timely processing.

Talent Acquisition Operations & Process Coordination

  • Maintain candidate, interview, and requisition data within the ATS, including interview scheduling details and confirmations, ensuring accuracy, data integrity, and compliance with recruiting processes and reporting requirements.
  • Contribute to continuous improvement initiatives within Talent Acquisition operations by identifying process inefficiencies, recommending enhancements, and supporting implementation of improved workflows and coordination practices.
  • Assist in coordinating hiring events, job fairs, and other talent-related activities, ensuring alignment with recruiting priorities and timelines.
  • Provide operational and project support for additional Talent Acquisition initiatives and evolving business needs as directed by the Corporate Talent Team Lead or HR leadership.

Qualifications

Education

  • Bachelor’s degree strongly preferred; relevant experience may be considered in lieu of a degree.

Experience

  • 2+ years of administrative, coordination, or scheduling experience in a recruiting or HR environment.
  • Background in a corporate, manufacturing, or industrial services environment required.

Skills & Capabilities

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong attention to detail and accuracy.
  • Professional communication skills (verbal and written).
  • Experience with an Applicant Tracking System (ATS), preferably UKG.
  • Experience arranging travel for candidates or employees.
  • Ability to exercise sound judgment, prioritize competing demands, and make independent decisions in a fast-paced environment.
