The Regulatory Operations Manager is responsible for managing, coordinating, and ensuring compliance with all facility-related regulatory licenses and permits required for clinical and operational functions. This role oversees regulatory filings across multiple jurisdictions and ensures timely submission, renewal, and maintenance of all required licensing documentation. The Regulatory Operations Manager works closely with internal stakeholders, regulatory agencies, and operations to ensure organizational readiness and compliance with federal, state, and local regulations.
Key Responsibilities:Licensing & Permit Management- Ensure all facility-related licenses, certifications, and permits remain active, current, and in full compliance with applicable regulations.
- Manage the preparation, submission, and renewal of the following (including but not limited to)
- CLIA LicensesState Laboratory Licenses
- Health Care Clinic Establishment Permits
- Board of Barbering & Cosmetology Facility Licenses
- Environmental Health Permits, including EPA and Hazardous Materials Permits
- Business Licenses
- Fictitious Name / DBA Permits
- Radiology Permits / Laser Licenses
- Alarm Permits
- Any additional federal, state, county, or municipal permits required to operate facilities
- OSHA Compliance Requirements (facility safety standards, reporting obligations, injury/illness logs, required trainings)
- Build a tracking system to track regulatory deadlines and maintain a centralized repository
- Monitor evolving regulatory requirements to ensure organizational practices remain aligned with federal, state, and local laws.
- Serve as the point of contact for regulatory agencies and oversee site inspections or requests for information.
- Work cross-functionally with clinical operations, compliance, legal, HR, and clinic teams.
- Implement Bloodborne pathogens training program.
- Ensure OSHA compliance, including workplace safety standards, hazard communication protocols, injury/illness reporting), and required employee safety training.
- Bachelor’s degree in business administration, healthcare administration, public health, or a related field
- 5+ years of experience in regulatory operations, healthcare compliance, licensing management, or a closely related role
- Experience handling clinic permits, licensing, and CLIA inspections
- Strong understanding of federal, state, and local regulatory requirements related to healthcare operations
- Proven experience preparing and submitting regulatory applications and renewals
- Strong organizational skills with excellent attention to detail
- Ability to manage multiple deadlines and work across diverse teams
