Job description

The Sr. Manager, Legal Operations is responsible for the administration, optimization, and oversight of Legal's operational functions. This includes legal technology platforms, regulatory compliance tracking, entity administration, licensing programs (business and PEO), vendor management (including the contract repository and related reporting), and the department's reporting infrastructure. This role serves as the operational backbone of the Legal department, ensuring processes, systems, and compliance obligations are managed efficiently and accurately, and provides direct supervision to the Corporate Regulatory & Administrative Paralegal.

  • Lead administration of Legal systems, workflows, and operational processes. Manage implementation and optimization of legal technology solutions. Develop and maintain standard operating procedures and department documentation.
  • Lead entity management and corporate governance. Coordinate formation, qualification, dissolution, and maintenance of legal entities. Maintain entity records and compliance calendars. Manage annual reports, registered agent services, and state filing requirements. Monitor entity compliance obligations and filing deadlines. Coordinate maintenance of the corporate records database.
  • Oversee administrative maintenance of professional entities, MSOs, PEOs, and affiliated organizations. Coordinate required state and local filings and registrations. Track ownership, registration, and organizational documentation.
  • Manage acquisition, renewal, and maintenance of business licenses and permits. Track license expiration dates and renewal requirements. Coordinate licensing activities with business stakeholders. Maintain licensing databases and compliance records.
  • Coordinate state PEO registrations, renewals, and related filings. Maintain regulatory filing schedules and compliance tracking tools. Monitor deadlines and ensure timely submissions.
  • Lead administration of AEG's intellectual property portfolio. Maintain trademark, service mark, copyright, and domain name portfolios. Coordinate filing, renewal, and maintenance activities with outside counsel and CT Corp. Track filing deadlines and registration requirements. Maintain intellectual property databases and records.
  • Lead maintenance of AEG's contract repository. Maintain executed contract records and document indexing standards. Ensure contract metadata accuracy and document integrity. Support contract workflow and reporting functions.
  • Administer legal e-billing and matter management platforms. Monitor invoice processing workflows. Generate legal spend and accrual reporting. Support legal budget tracking and analytics.
  • Prepare department dashboards and management reports.
  • Directly supervise the Corporate Regulatory & Administrative Paralegal, including assigning and reviewing work related to entity administration, regulatory filings, and compliance tracking.
  • 8+ years of legal or legal operations experience.
  • Experience within an in-house legal department is often preferred.
  • Demonstrated success managing legal processes, systems, vendors, and operational initiatives.
