Regional Buyer

Location: Tucson, AZ

Position Summary

AMS Impact Group is seeking a detail-oriented and collaborative Regional Buyer to support procurement activities across AMS schools. The Regional Buyer is responsible for managing the cost-effective procurement of supplies, equipment, and services while ensuring compliance with applicable state laws, school board policies, and internal controls established by AMS.

The Regional Buyer works closely with school sites and district departments to understand purchasing needs, identify qualified suppliers, secure competitive pricing, and ensure purchases meet quality standards and applicable procurement requirements.

Key Responsibilities

Procurement & Purchasing

  • Process purchasing requisitions and enter purchase order data into financial management software.

  • Secure competitive pricing and price quotes for supplies, equipment, and services.

  • Procure materials, goods, and services at the lowest cost possible while maintaining appropriate quality standards.

  • Ensure purchasing activities are completed accurately and efficiently.

Solicitations & Bids

  • Develop, write, and issue Requests for Proposals (RFPs), Requests for Quotations (RFQs), and formal bids.

  • Support solicitation processes in accordance with applicable procurement requirements.

  • Evaluate pricing and vendor responses to support cost-effective purchasing decisions.

Compliance & Procurement Law

  • Ensure purchases comply with Arizona Revised Statutes, applicable school board policies, and district procurement rules.

  • Maintain compliance with internal purchasing controls and applicable local, state, and federal requirements.

  • Maintain appropriate documentation to support purchasing decisions and compliance.

Vendor Management

  • Research and identify qualified suppliers and vendors.

  • Evaluate vendor performance and maintain effective vendor relationships.

  • Negotiate contracts and pricing when appropriate.

  • Resolve delivery, invoicing, and other vendor-related disputes.

Collaboration & School Support

  • Work with school sites and district departments to understand and define product and service needs.

  • Assist departments with developing accurate and appropriate product specifications.

  • Provide guidance to school and district staff regarding purchasing processes and requirements.

  • Collaborate with internal teams to ensure purchasing needs are addressed in a timely and cost-effective manner.

Recordkeeping & Administration

  • Maintain accurate digital and paper records of contracts, pricing, purchasing activity, and vendor information.

  • Maintain organized documentation to support audits and purchasing compliance.

  • Perform additional purchasing and administrative duties as assigned.

Required Qualifications

Education & Experience

  • Associate's or bachelor's degree in Business Administration, Supply Chain Management, Public Administration, or a related field preferred.

  • Equivalent combinations of a high school diploma and relevant professional experience will be considered.

  • Minimum of two (2) to four (4) years of professional purchasing, buying, or contract administration experience.

  • Experience in the public sector or an Arizona school district is highly preferred.

Knowledge, Skills & Abilities

  • Familiarity with Arizona public procurement codes and purchasing requirements.

  • Understanding of accounting principles and purchasing processes.

  • Experience using computerized financial management or procurement software.

  • Strong organizational and recordkeeping skills.

  • Strong communication and negotiation skills.

  • Ability to research vendors, evaluate pricing, and make cost-effective purchasing recommendations.

  • Ability to manage multiple priorities and meet deadlines.

  • Strong attention to detail and commitment to compliance.

Preferred Qualifications

  • Experience working within an Arizona public school district or other public-sector organization.

  • Experience with formal RFP, RFQ, and competitive bidding processes.

  • Knowledge of school district purchasing policies and procedures.

  • Experience with financial management or ERP systems.
