Job description

Wellness Coordinator
The Wellness Coordinator at The University of Texas MD Anderson Cancer Center plays a key role in supporting the coordination and delivery of employee wellness initiatives. The Wellness Coordinator helps execute engagement strategies, manage program logistics, and ensure smooth operations across wellness programming efforts. The Wellness Coordinator works closely with program leaders to enhance participation, improve employee experience, and drive wellness initiatives forward.

Minimum $21.88 - Midpoint $27.40 - Maximum $32.93
Hybrid position; on-site as needed with no defined on-site schedule and flexibility to work occasional evening shifts (approximately 1-2 times per month)

Responsibilities
Engagement & Outreach Activation
• Support the Program Manager in coordinating and activating engagement networks, including the Champions network
• Assist with communication, outreach, and engagement strategies to increase participation and awareness
• Coordinate logistics and participant engagement for outreach initiatives
• Serve as a liaison to participants, champions, and departments to maintain engagement
• Escalate engagement trends, challenges, or opportunities to the Program Manager
• Coordinate wellness grant fund usage under direction
Wellness Programming
• Support programming leaders in coordinating wellness programs and activation logistics
• Manage scheduling, space, and material preparation for program delivery
• Provide on-site or virtual support during programs to ensure quality and consistency
• Ensure alignment with established program standards and expectations
• Maintain inventory of wellness supplies and readiness for events
• Maintain program calendars and workflows for portfolio support
Program Tracking & Reporting
• Track participation, utilization, and engagement metrics across programs
• Maintain program trackers and assist with reporting summaries
• Prepare and administer surveys to gather participant feedback using tools such as Qualtrics and RedCap
Operations & Administrative Support
• Assist with special events and wellness programming initiatives
• Support procurement processes, expense tracking, and documentation
• Help oversee the Be Well inbox and respond to inquiries
• Provide backup support to Fitness Center Attendants and Administrative Coordinator
• Create department links and reports and support training-related administrative work
Event Planning & Cross-Functional Collaboration
• Plan and coordinate wellness events from initiation through execution
• Coordinate with departments, including nursing units, to schedule wellness activities
• Work with teams to ensure seamless program delivery across various schedules
• Support implementation of wellness initiatives across multiple departments
• Utilize Microsoft Teams and collaboration tools to coordinate efforts
EDUCATION
  • Required: Bachelor's Degree Health Education, Business Administration, Healthcare Administration, Public Health, or related field.
  • Preferred: Master's Degree Health Education, Business Administration, Healthcare Administration, Public Health, or related field.

WORK EXPERIENCE
  • Required: 1 year experience in program coordination, employee wellness, health promotion, or a related field.
  • Preferred: 2 years experience in program coordination, employee wellness, health promotion, or related experience in a direct patient care delivery setting.
  • Preferred: experience with event planning and logistics, experience with administrative coordination and reporting, experience working with multiple departments and stakeholders, experience supporting wellness or employee engagement programs, experience using Qualtrics, RedCap, and Microsoft Teams

LICENSES AND CERTIFICATIONS
  • Required: Cardiopulmonary Resuscitation (CPR) Upon Hire or
  • Required: BLS - Basic Life Support Upon Hire
  • Preferred: Current personal training certification through a national organization (NASM, ACSM, NSCA, ACE, etc.). Upon Hire
  • Preferred: Current group exercise certification through a reputable national organization (ACSM, NSCA, ACE, YMCA, ADAA, etc.). Upon Hire
