Position Summary: The Records Scanning Technician supports the disassembly, clean, inspect (DCI) and assembly documentation process for aircraft engine and module workbooks. The role is responsible for preparing, scanning, categorizing, naming, quality‑checking, and properly disposing of physical and digital records in accordance with Local Work Instructions (LWIs) and command policy.
This position directly supports the digitization and archival of critical maintenance and inspection records.
What You will Do:
Physical Document Preparation
- Remove all staples, paperclips, binder clips, and other fasteners
- Flatten folded corners (“dog‑ears”)
- Identify documents requiring flatbed scanning (taped items, sticky notes, fragile pages, small artifacts)
- Handle brittle or historical documents with care to prevent degradation
- Lift and move full banker boxes from floor‑level skids as needed
Categorization & Sectioning
- Organize engine records by DCI number
- Separate multiple DCIs into distinct scanning batches
- Divide each engine record into required sections:
- Purged artifacts
- Relevant reports and supporting documentation
- Engine/Module DCI
- Assembly
- Worksheets, checklists, RFI documents
- All other relevant documentation
Scanning & Naming Conventions
- Scan documents using ADF or flatbed per LWI guidance
- Apply strict naming conventions for database sorting
- Ensure all digital files are correctly labeled and stored in the designated secure server or Document Management System
Quality Control & Disposition
- Perform 100% visual spot‑check of all scanned files for:
- Legibility
- Alignment
- Completeness
- Upload files to the secure server/DMS
- Place physical documents in the appropriate bin:
- “Scanned – Pending Disposal”
- “Permanent Archive”
What You Will Bring:
Required Qualifications
- Ability to obtain and maintain NAS Kingsville access credentials
- Experience with document scanning, records management, or administrative processing
- Ability to lift and move full banker boxes (approx. 25–35 lbs)
- Reliable attendance, including transportation
- Ability to travel short distances on base (approx. 1 mile)
Strong attention to detail and accuracy
Preferred Qualifications
- Prior experience with military, aviation, or technical maintenance records
- Familiarity with DCI/assembly documentation
- Experience with secure document management systems
- Ability to work overtime as required by operational needs
- Clear communication of project workload, deliverables, & obstacles that could impact delivery to their supervisor.
Work Conditions
- Work performed on a secure military installation
- Overtime may be required to meet production timelines
- Work involves repetitive handling of paper records and extended periods of scanning
- Must follow all command policies for handling, storing, and disposing of physical and digital records
Required Skills and Experience
- Ability to obtain and maintain installation access credentials, including passing background screening
- 1–3 years of experience in document scanning, records management, administrative processing, or similar detail‑oriented work
- Proficiency with scanning equipment, including ADF and flatbed scanners
- Strong organizational skills, with the ability to categorize, batch, and label documentation accurately
- High attention to detail, ensuring legibility, alignment, and completeness of all scanned records
- Experience following structured procedures or work instructions (LWIs, SOPs, or similar)
- Comfort handling Controlled Unclassified Information (CUI) or other sensitive technical documentation
- Ability to lift and move full banker boxes (25–35 lbs) and work on‑site daily
- Basic computer proficiency, including file management, naming conventions, and uploading to secure systems
- Dependability and time‑management skills, with the ability to meet production targets and deadlines
- Strong communication skills and the ability to work effectively in a military‑aligned, process‑driven environment

Pay Range: $20.00-$24.00/hr.
Compensation decisions are made based on factors including experience, skills, education, and other job-related factors, in accordance with our internal pay structure. We also offer a comprehensive benefits package, including health insurance, paid time off, and retirement plan.
Work Requirements:
This role is considered to be fulltime temporary (6 months with possible extensions) on-site position located in Kingsville, TX
- You must be able to commute to and from the location with your own transportation arrangements to meet the required working hours.
- Ability to follow all safety procedures, customer policy while handling physical records and equipment
- Shop floor environment, which may include but not limited to extensive walking, and ability to lift up to 40 lbs.
