Job Summary:
The Student Registration & Records Specialist serves as the first point of contact for families enrolling in Rochester Public Schools. This position supports student enrollment, records management, and customer service by ensuring accurate student information, timely placement, and compliance with district and state requirements. The ideal candidate is organized, detail-oriented, customer-focused, and thrives in a fast-paced environment.
Essential Responsibilities:
  • Register new students and collect enrollment information, verifying residency and identifying student needs.
  • Collaborate with Special Education, English Learner, and Transportation departments to ensure timely and appropriate student placement.
  • Provide exceptional customer service by assisting families and community members at the walk-up registration counter and responding to registration-related inquiries.
  • Maintain accurate student immunization records and coordinate immunization exclusion processes with school administrators in accordance with state requirements.
  • Process transcript requests and enrollment verifications for current and former students.
  • Collect, review, and distribute academic and health records for students transferring into and out of the district.
  • Maintain accurate student information in the Skyward student information system, ensuring data integrity and compliance with district standards.
  • Evaluate existing workflows and leverage technology to improve efficiency and productivity.
  • Provide information regarding attendance boundaries, enrollment requirements, alternative education options, and Minnesota immunization requirements.
  • Ensure student records are complete, accurate, and maintained in accordance with district records retention policies.
  • Perform other duties as assigned within the scope of the position.
Qualifications:
  • Strong interpersonal, customer service, and communication skills.
  • Excellent attention to detail and data entry accuracy.
  • Demonstrated ability to prioritize work, manage multiple responsibilities, solve problems, work independently, and adapt to frequent interruptions in a fast-paced environment.
  • Positive attitude with a commitment to providing outstanding service to students, families, and staff.
  • Proficiency with Google Workspace (Docs, Sheets, and Gmail) and Microsoft Office (Word and Excel).
  • Experience with Skyward or another student information system is preferred but not required.
  • Ability and willingness to quickly learn new software applications and web-based systems.
  • Flexibility to work adjusted hours during peak registration periods.
  • Reliable daily attendance is essential to the success of this role.
